Job Summary
SummaryThe primary purpose of this position is to receive process and schedule patients. Tasks include preparing paperwork, filing, entering orders and scheduling patients into EPIC, tracking unread exams, verifying pre-authorizations for MRI, CT, and other modalities as necessary.
DELEGATION OF AUTHORITY:
As the department secretary, you are delegated the administrative authority, responsibility and accountability necessary for carrying out your assigned duties.
Essential Functions
Greets patient at desk and on the phone politely, efficiently and clearly.
Able to handle multiple calls efficiently and professionally.
Track unread exams in EPIC daily and follows up with Tele-radiology staff.
Able to navigate EPIC schedule module and able to problem solve when necessary.
Registers and schedules patients for appointments for all modalities.
Processes reports to physicians when requested.
Make CD's for patients and obtain proper identification and signature of requesting patient.
Communicates all STAT orders to techs.
Contacts appropriate staff; ordering physicians, techs, nurses, etc. with any questions pertaining to the written order for clarification.
Instructs patients in the proper preparation.
Makes sure questionnaires are filled out completely.
Able to identify patients who may screen out of the exam, ask preliminary screening questions.
Identifies and follow through on issues which may affect patient exam i.e., lab, signs and symptoms as pertaining to exam.
Prints and distributes copies of the next day's schedule to Director and all modalities.
Communicates with Tele-radiology effectively.
Processes physician’s orders to Teleradiology in a timely fashion.
Obtains proper history, diagnosis, signs and symptoms to comply with medical necessity.
Obtains protocol, pre-authorization confirmation and all necessary paperwork for billing.
Notifies physicians office and request a new order if protocol changes.
Does not schedule patients without pre-authorizations for those modalities for which it is required.
Maintains a par level of supplies for printers and CD burners as well as other supplies.
Cooperates and promotes team efforts with co-workers and members of the hospital staff.
Always working towards continuous quality improvements as direct (eliminating resources and steps, reducing re-work).
Assist with other secretarial/scheduling duties to provide full departmental coverage.
Obtains BLS and stays current with certification.
Qualifications
EDUCATION REQUIREMENTS:
• High school Diploma (prefer more advanced degree)
• Medical terminology
EXPERIENCE:
• Three years’ experience in medical office/hospital environment required
• Strong computer skills required
• Familiar with radiology terminology and modalities preferred.
• Knowledge of EPIC programs strongly preferred.
