Description
We are offering a short term contract employment opportunity for a Department Secretary in the healthcare industry. The role is based in North Haven, Connecticut and will involve a range of administrative duties, from processing customer applications to maintaining accurate records.
Responsibilities:
• Efficiently process customer applications, ensuring accuracy and timeliness
• Manage and maintain precise customer credit records
• Handle customer inquiries, providing timely and appropriate responses
• Monitor customer accounts and take appropriate action when necessary
• Act as a receptionist, managing incoming calls and visitor interactions
• Schedule meetings and appointments for staff following established department procedures
• Maintain department calendar, ensuring no overlapping appointments occur
• Use Microsoft Word, Excel, PowerPoint, and Windows OS for various tasks
• Distribute incoming mails and maintain files systematically
• Utilize typing skills to prepare routine correspondence, memos, reports and various routine forms
• Support the coordinator in daily operations and related physician and office staff activities
• Display a good understanding of department procedures and implement them as required
• Demonstrate strong organizational skills in managing workload and meeting established priorities.
Requirements • Proficiency in Microsoft Word, Excel, and PowerPoint along with working knowledge of Windows OS
• Experience in performing receptionist duties and managing correspondence
• Ability to schedule appointments and meetings effectively
• Knowledge of payroll processing and medical coverage
• Strong typing skills (WPM to be determined by employer)
• Experience in managing calendars and coordinating department procedures
• Ability to distribute incoming mail and maintain files efficiently
• Excellent spelling and organizational skills
• Familiarity with corporate secretarial functions
• Experience in handling purchase orders and monitoring attendance
• Knowledge of the file system
• Ability to handle routine correspondence efficiently
• Prior experience in a healthcare, hospital, or social assistance setting is preferred
• Must maintain patient confidentiality and adhere to all department procedures and protocols.
