Design Manager Assistant

Description:

The Contractor shall provide design management (DM) assistant activities to include but not limited to:

Organize, schedule, and coordinate project meetings in support of the DM, developing draft agendas, requesting agenda items, developing, and reviewing meeting minutes.

Assist the DM with document management, filing, communications and other administrative tasks including project record keeping and email communication or design and construction phases of work.

Coordinate and administratively support the SD-410 design review process, to include assistance with managing the collection of review comments and their

responses within the I-manage system and Revizto software.

Assist with escorting AE teams with on-site field surveys and site visits.

Assist in the review and coordination of project submittals, RFIs, substitution requests, site visit reports, and other construction phase activities to support the DM.

Draft scope development for Architect and Engineer services. The scopes of work shall utilize the standard scope template used by Smithsonian and will be reviewed and finalized by the design manager who is also the Contracting Officer’s Technical Representative (COTR). The DM Assistant shall work in support of a Smithsonian Branch Chief, Unit Design Manager, or Design Manager. The DM Assistant will not be the Contracting Officer Technical Representative but will support and assist the Smithsonian COTR in administrative and technical aspects of design contract management.

Develop draft independent government estimates for Architect and Engineer scopes of work and services to be reviewed and finalized by the design manager COTR

Conduct site investigation of existing conditions for validation of the design documents for an assigned project.

Assist in the review and coordination of various project submissions to and from NEPA/Section 106 and external agencies, for accuracy, completeness and compliance with SI standards and requirements.

Conducting technical and administrative research for design issues to include: code research, executive orders, SI policy, and other Federal and municipal government regulations.

Review design submissions for technical correctness and code compliance and provide comments in the I-Manage system.

Shall be proficient in Microsoft Word, Microsoft Power Point, Adobe PDF, Microsoft Project and Microsoft Excel.

Work closely with OPDC staff to provide other related services.

Work environment will include office setting, telework, and on-site work in the museum and construction site

Additional Skills & Qualifications:

Bachelors in Architecture or Engineering is required.

Professional registration is desirable and recommended.

Prior experience supporting Federal Architecture & Construction projects (familiarity with design submissions and RFIs/Submittals)
