Summary This position is located in the Development Office, Chief of Staff, Office of the Librarian. The position description number for this position is 378722. The salary range indicated reflects the locality pay adjustments for the Washington, D.C., Metropolitan area. This is a non-supervisory, non-bargaining unit position. Relocation expenses will not be authorized for the person(s) selected under this vacancy announcement. Responsibilities This position is located in the Development Office, Office of the Librarian. Under the general Supervision of the Director and working with other senior staff, the incumbent supports the office’s fundraising activities, drawing upon a comprehensive working knowledge of the office’s practices and procedures. The incumbent independently completes assignments in accordance with accepted practices, resolving most conflicts that arise. Creates and maintains constituent records in the Library’s fundraising and relationship management database (e.g., Raiser’s Edge), including documentation related to individuals and organizations, pledges and gifts, contribution acknowledgements, and other activity. Working with senior staff and database administrators, maintains database queries and reports to coordinate and validate timely processing of gifts and acknowledgements, monitor and prepare pledge or installment payment reminder information, identify upcoming grantor and/or foundation report requirements, and generate other quality control checks. Ensures new gifts/payments/pledges are properly recorded in Raiser’s Edge and reconciled with OCFO. The incumbent notifies supervisor of discrepancies that warrant higher-level attention. Complies with defined business rules and data entry requirements for each record type and transaction. Identifies new or unique transaction to solicit guidance on processing requirements. Provides feedback on methods and practices to streamline processing procedures. Stays up-to- date on database features and upgrades. Maintains an electronic Correspondence Control Manager (CCM) file of all assigned fundraising correspondence addressed to or sent from the Development Office. Works closely with the Development office staff and Office of the Librarian to process correspondence requiring the Librarian’s signature, including the personalization of defined templates and managing requested revisions. Assists with reviewing and editing Development Office communications to constituents and internal stakeholders, including letters, reports, memos, presentations, proposals, and other documents. Integrates several types of software (word processing, charts, desktop publishing, and graphics applications) to generate working documents and forms. Reviews correspondence and documents for conformance with regulations, grammar, and format. Coordinates processing of signed correspondence to ensure the recording of postscripts and enclosure of required materials. Prepares large volumes of materials for distribution. Serves as an expert in all aspects of a mail and file unit’s operations, including all applicable policies and procedures. Performs research of a general nature to assist Office staff in the development of prospect and donor profiles, grant proposals, fund-raising strategies, and briefing papers. Utilizes the Library’s fundraising and relationship management database (e.g., Raiser’s Edge) to retrieve data on an individual l or aggregate basis, to address ad hoc questions or prepare charts and reports. Supports Office analytics initiatives by creating and maintaining query and report templates within the database. Assists in preparing and compiling information for meetings of the James Madison Council and other Madison Council activities. Prepares replies to queries of a non-technical and non-sensitive nature, on own initiative or at the direction Director or other senior Office staff; selects and attaches background material as required. Supports the Director, Development Office, and Office staff by providing administrative and clerical support, including serving as front office representative to receive and screen phone calls and welcome visitors, including key members of the philanthropic community, corporate and foundation executives, high-level government officials, and senior agency staff. Qualifications Applicants must have had progressively responsible experience and training sufficient in scope and quality to furnish them with an acceptable level of the following knowledge, skills, and abilities to perform the duties of the position without more than normal supervision. Knowledge of records processing in a fundraising or development context.** Ability to interact collaboratively with others.** Ability to perform research and reporting on funding sources.** Knowledge of mail, correspondence, and report processing. Ability to communicate effectively other than in writing.
