With one of the leading development teams in the country, the Division most recently reached its $1 billion fundraising campaign goal 19 months ahead of schedule. The Vice President for Research Advancement unit ( VPRA ) fundraises for the world-class research enterprise and programs at Colorado State University. VPRA’s goal is to support the sustained growth of CSU’s research by diversifying the funding portfolio for its research programs. VPRA reports to both the University Advancement division and the Office of the Vice President for Research, and collaborates across the University, with academic leadership, development directors, and other key personnel, to lead, create, and implement successful fundraising strategies. The Office of the Vice President for Research has overall responsibility for facilitating the research enterprise on campus. Position Summary The Development Coordinator has numerous responsibilities that support frontline fundraisers so they may use their time cultivating relationships with prospective donors and soliciting gifts. This position will work to develop proposals, reports, and materials to cultivate and steward individual giving to CSU as needed in each unit. This will include establishing metrics, soliciting and analyzing data, identifying target audiences, and assisting the Director of Development for VPRA with a $50,000 budget to maintain and identify resource needs to develop fundraising activities. The Development Coordinator will establish and maintain their own scope of work with limited direction from the supervisor to accomplish responsibilities and will assist with the teams’ success in meeting annual unit/division goals. This position will infuse diversity, equity, and inclusion into all aspects of their work in order to contribute to ensuring processes and services are inclusive. This person will also work to ensure an inclusive environment for their team and will continuously strive for inclusive excellence. This position is a full-time, permanent appointment, based in Fort Collins, Colorado, reporting to the Director of Development for Research Advancement. Essential Duties Job Duty CategoryFundraising/Operations/Program Management/Project Development Duty/Responsibility + Management of office operations, interactions with campus partners, scheduling corporate and donor visits, track fundraising progress through Advance reporting. + Coordinate prospect and proposal strategy between CSU’s colleges and units as well as and campus leadership. + Facilitate relationships with corporate partners, donors, prospects, University personnel, and serve as an ambassador to connect the CSU community to VPRA . + Manage and coordinate events; prepare and adhere to event budget; select and setup location, caterers, menus, and mementos; work with the marketing team to develop save-the-date notices, emails, invitations, and programs; arranging parking, transportation, and photography. + Establish and maintain relationships with a wide range of constituents locally, regionally, and nationally and seek out opportunities for team to connect with corporations, donors and the University through engagement efforts. + Serve as an ambassador to connect the CSU community to Advancement. + Maintain confidential files and records, anticipate concerns, be creative in performing work assigned. + Anticipate and address upcoming assignments, and solve potential roadblocks, and understanding when to take difficult problems to the supervisor for resolution. + Prepare gift fund request forms, acquire necessary signatures, and ensure paperwork is fully executed and is processed in a timely manner, including, gift transmittal’s, gifts in-kind, letters of intent, and electronic giving. + Coordinate direct mailing and other solicitation initiatives with Annual Giving, Research and provide summaries of selected donors. + Successfully interact and work with a diverse range of colleagues, campus partners, corporate entities and donors by demonstrating a commitment to inclusive interactions and environments. Percentage Of Time45% Job Duty CategorySupervision, Budget Management Duty/Responsibility + Assist the unit Director in managing a $50,000 budget. + Coordinate schedules and projects with student workers and other office staff to ensure the work is performed correctly and on deadline. + Supervise student workers, including managing the hiring, training, daily performance, staffing of the reception desk, and formal and informal performance feedback for the student employees. + Ensures an inclusive team environment where all student employees feel valued, their ideas welcomed, and their contributions affirmed; contributes to the overall UA division culture and goals of inclusivity through supervision. Consistently works toward elevated cultural competency and inclusive leadership/supervisory tactics. + Reconcile accounts; determine amount in expendable accounts to reinvest into matching endowment accounts. + Manage and expedite a consistent model for travel reimbursements, official function procedures (receipts), and internal purchase orders with appropriate colleagues. + Consider how purchasing choices can support local and underrepresented businesses. + On a monthly basis, oversee account balances and work with the Unit accountant to pay expenses and ensure gift funds are allocated correctly. Percentage Of Time20% Job Duty CategoryCommunication and Program Strategy Duty/Responsibility + Write, edit, and assist with designing written communication pieces including newsletter articles, emails, thank-you letters, proposals, and impact reports. + Oversee all planning and logistics for meetings team meetings, prepare agendas, briefs and back up materials, communicate and track action items on an ongoing basis. + Assist in creating new marketing and leave-behind pieces, and update/revise existing pieces before reprinting. + Responsible for all aspects of the donor acknowledgement process (execute weekly process, regularly update and amend thank-you templates, maintain/update policy and procedures, etc.) to ensure that the unit promptly and appropriately communicates with donors and ensure appropriate recognition. + Prepare gift fund request forms, acquire necessary signatures, and ensure paperwork is fully executed and is processed in a timely manner, including, gift transmittals, gifts in-kind, letters of intent, and electronic giving. + Ensure solicitations or giving options are integrated into most communications. + Coordinate all aspects of phonathon campaigns with Annual Giving. + Exemplify the Division’s commitment to inclusive environment, materials, and communications.
