Development Events & Special Projects Manager (Sepulveda)   This is a hybrid position based in Los Angeles with the option to elect into a 9/80 flex work schedule.    The pay range for this role is between $71,500 - $82,200.

Summary 

This position is hybrid with infrequent travel for in-person events and related meetings in the greater Los Angeles area. This position is a key contributor to our team’s success and requires a highly organized, creative, resourceful, detail-oriented, and motivated person to serve as the lead for donor-focused event planning and management, support the department’s fundraising activities, and manage special projects as assigned, all of which would relate to donor engagement and stewardship.

The Development Events & Special Projects Manager covers a range of responsibilities including developing and tracking sponsorships, event production, vendor selection and contract negotiations, attendee and donor communications, invitations and marketing, logistics coordination, and additional tasks as necessary for event management and donor engagement.

  Primary Duties   Event Leadership and Planning    Works in close partnership with the Development team for the planning, management, execution, and general oversight of all aspects of fundraising and donor recognition events, including but not limited to Didi Hirsch’s annual garden party (generally held in the spring) and our 5K walk/run (generally held in the fall).  Develops event-related messaging, strategy, mailing list criteria, digital and social media content, and schedules in conjunction with the Director of Development – Major Gifts. Creates and manages comprehensive task and project lists that capture all elements of work required to execute a successful event.  Helps develop and manage sponsorship opportunities. Assists the Development team in handling sponsor relations, ensuring timely and accurate fulfillment of our agreements for recognition and benefits. Works with Marketing/Communications staff to develop event branding, messaging and marketing materials for website, digital, and print content, including save the dates, invitations, sponsorship materials, web components, graphics, social media posts, signage and swag branding.  Prepares acknowledgments for honorees, volunteers, and any additional participants while corresponding with sponsors as needed.   Event Management, Coordination, and Outreach   Oversees and manages all aspects of the organization’s fundraising and donor appreciation events, from conceptualization to execution.  Serves as lead for all event logistics and uses spreadsheets/online tools to document and track all planned activities and their related timelines. Manages event-based contractor/vendor relationships in their entirety from research and selection to initial proposal, bid submission, performance monitoring, invoicing, billing review, and overall contract fulfillment.  Develops sponsorships/partnership arrangements with businesses, individuals, and organizations interested in supporting Didi Hirsch’s events and activities.   Facilitates and manages peer-to-peer fundraising logistics for all events, particularly our annual 5K. Manages event fundraising platform and ensures a user-friendly participant interface. This includes design updates, sponsor and community partner recognition, FAQs, and any other updates when necessary.  Identifies, recruits and maintains event volunteers, volunteer committee and event-related volunteer activities. Researches new sources and solicits bids as needed.   Event Quality, Fulfillment and Reporting    Maintains accurate event records, prepares regular progress reports, and collects any necessary information for final reports and analysis.  Organizes post-event review and debriefs with volunteer committees.  Assists the VP of Development in preparing outcome reports and maintains all relevant data/metrics for quick and easy reference.   Secures any required event permits and handles timely reporting.   Produces regular progress reports and final wrap-up report on event expenses and net revenues. Supports the VP of Development by reviewing meeting minutes and drafting committee meeting agendas/other event-related correspondence for board and external sources.   Financial Duties   Develops, monitors and tracks event-related budgets and pre-approved expenses to ensure compliance with board-approved budgets. Obtains necessary approval for expenses, secures 3rd party bids, reviews all billings, processes invoices, monitors/tracks event revenues, and collaborates with Finance department to ensure timely payment of accounts receivable.   Position Requirements   Minimum of five years of experience serving in a leadership role for live event planning and management, including some work with virtual activities, experiences and events. High school diploma or equivalent is required; a bachelor's degree is preferred. Minimum of five years of experience with venue and vendor contract negotiation and execution.  Ability to conduct comprehensive research to identify new resources and tools, including presentation of similar tools for comparison of capacities and how they might meet our event needs. Ability to create and manage wide range of tracking logs and spreadsheets, to ensure capturing and monitoring range of event activities.  A self-starter with ability to work independently as well as a strong member of a team. Ability to work remotely with high level of success and productivity.  Strong communication skills, both written and verbal. Ability to be flexible, adaptive, resourceful and creative. Computer skills with proficiency in Microsoft Office and Excel. Experience with event management software, such as Network for Good or Eventbrite. General experience with donor database software.  A commitment to team objectives and Didi Hirsch philosophies.  Ability to adapt to changing needs by acquiring new skills and knowledge.  Current California driver’s license and a driving record acceptable to the Agency’s insurance carrier.     Our Vision
