Diagnostic Imaging Records Coordinator

Summary:

Under general supervision and in accordance with established policies and procedures is responsible for receiving and processing requests for digital medical images from a variety of internal and external sources storing and saving digital medical images from outside entities and collecting and storing outpatient�s exam related paperwork for multiple affiliates.

Responsibilities:

Performs a variety of clerical filing and record keeping duties in support of the Diagnostic Imaging Department and related areas. 

Interacts daily with physicians lawyers other professionals as well as outpatients or their family members.

Utilizing judgment and a thorough knowledge of Department Hospital and external agency systems and operations regarding a specialized function researches and reconciles clerical procedural and judgment errors. 

Gathers and interprets information from many sources and prepares summarizes and expedites the processing of such information. 

May provide resource assistance to other personnel. 

Performs any combination of the following duties.

Maintains standards of professional and ethical conduct.

Uses the Life Image application for receiving and pushing outside digital images to PACS for Radiologist/Technologist viewing and comparison for multiple affiliates.

Prints film and burns CD�s as requested and retrieves films from an offsite vendor for multiple affiliates.  Prints and faxes patient reports.

Scans all paperwork into LifeChart as required.

Gathers digital images for conferences and meetings as needed.
Tracks their destination and return through LifeChart.

Releases preliminary examination reports via telephone or fax to authorized personnel including physician offices or other hospitals while maintaining ethical conduct.

Processes all requests from patients physicians other facilities and attorney offices requiring patient images.
 Secures from patients their authorization to release their medical information according to Department policy.

Answers the telephone while representing the department during personal and telephone interaction with physician lawyers and other professional on a daily basis.

Maintains inventory for the File Room notifying Supervisor of anything needed for department.

Participates in the orientation of new employees to the department by explaining information management procedures protocols policies and documenting work as needed.

Organizes collates classifies and retrieves various Diagnostic Imaging information documents and other output products.

Manages association of previous Diagnostic Imaging film and documents with current film and documents for presentation to attending Radiologist and residents for clinical interpretation.

Works with clinical and support members in other hospital departments to coordinate timely compilation of vital Diagnostic Imaging documents.

Works with Records Manager to coordinate and maintain department�s film and document tracking mechanisms.

Operates all peripheral equipment associated with information management system within department.

Reviews edits and verifies the accuracy of a variety of records reports and other items.  Identifies errors which may be clerical procedural and occasionally judgmental in nature researches all available sources and makes adjustments to reconcile error as necessary.

Provides resource assistance to other clerical personnel both within and outside the immediate work area and assists in resolving operational and/or technical problems by researching source of problems and making recommendation for resolution utilizing through knowledge of Departmental and/or Hospital accounts.

May conduct special projects for the Department utilizing experience-based knowledge of Departmental and Hospital policies procedures and operations.

Participates in monthly staff meeting.

Perform other related duties as required.

BASIC KNOWLEDGE:

Level of knowledge generally obtained through the completion of High School

Demonstrated knowledge and skills necessary to provide care to patients throughout the life span with consideration of aging processes human development and cultural patterns in each step of the care process.
Knowledge of Medical terminology and organizational skills required. Interpersonal skills to effectively communicate with patients visitors physicians and hospital staff of all levels.  Typing and good math skills. Detail oriented.  

Analytical ability to locate research and resolve errors and problems.

Organizational skills to gather assemble and maintain data from a wide variety of sources.

The ability to operate standard and automated office equipment including an on-line computer terminal.  The level of typing ability required for this position is not that of a correspondence typist.


EXPERIENCE:

Six to twelve months of progressively more responsible job-related experience in order to be familiar with most if not all departmental operations as well as the regulations associated with specialized functions.

Ability to read clinical information and interact effectively with other professionals.

Ability to comprehend information management techniques and acts independently in dynamic clinical setting.

Knowledge of anatomical and medical terminology.

Must be able to navigate a windows based personal computer application and navigate a clinical information system.

Must be able to demonstrate good customer service skills.


WORKING ENVIRONMENT AND PHYSICAL REQUIREMENTS:

Normal office environment.  Requires standing bending sitting and moderate lifting.  Sufficient visual acuity and manual dexterity to use computer keyboard and other common office equipment.

Generally good working conditions with little discomfort from dust noise and heat.


INDEPENDENT ACTION:

Incumbent functions independently within the department�s policies and practices. 
Refers specific complex problems to the Supervisor when clarification of the departmental policies and procedures are required.


SUPERVISORY RESPONSIBILITY:

None.

May initiate training of new employees or communicate workflow changes. 
May provide performance feedback to the Supervisor for new employees.
