The Director serves as the contact person for all enrollment functions, including admissions and student issues and concerns. This is a 15-month maternity coverage.
Responsibilities include:
• co-coordinating, along with the Director of Admissions, the admissions process, student recruitment and marketing.
• overseeing the student application process, including evaluation of student credentials.
• coordinating with Financial Aid and other University departments, in Vancouver and in the U.S.
• assisting in the management of course scheduling.
• determining room assignments and maintaining student academic records; and
• managing student transfer credit and the campus’ participation in the BC transfer system.
Required Qualifications: PRINCIPAL DUTIES:1. Co-coordinates, along with the Director of Admissions, the recruitment of Canadian and international students as well as marketing, admissions, and the scholarship application process.2. Assists the Director of Admissions in overseeing the campus’ contracts with marketing consultant.3. Counsels’ students on financial matters. Outlines the various payment plans and options available to students. Implements new services and tools to improve tuition payments. Tracks and monitors tuition payments each term.4. Manages the students’ financial accounts and the issuing of the T2202A and T4A forms in collaboration with the Finance department and the Enrollment Services Financial Specialist.5. Carries primary responsibility for Enrollment Services’ role in the reconciliation process of journal entries with the Finance Office and other transactions affecting both departments. Implements new tools to improve the processing methods of tuition payments with assistance of our bank and our main campus.6. Reviews and approves all Tuition Refunds of the Vancouver Campus.7. Communicates and interacts with the Vancouver Campus Executive and Program Directors in Vancouver and the Academic Deans and School Directors or Department Chairs on the U.S. campuses to initiate and resolve academic issues and polices.8. Reviews all Request for Reconsideration regarding tuition penalties, academic probations, and financial aid probations.9. Manages Academic Probations and Financial Aid probations of all programs in collaboration with Program Coordinators and Deans.10. Manages Academic Honors and Awards of all programs in collaboration with Program Coordinators and Deans.11. Maintains student academic records and responds to requests for academic transcripts and verification of enrollment.12. Manages all student transfer credit and the campus’ participation in the BC transfer system.13. Manages and monitors all registrations systems that students and program coordinators need in order to register for courses.14. Monitors the application and registration process of all Practicums and Internships in coordination with Career Services and Program Coordinators.15. Oversees the registration of all Study Abroad/Exchanges and Partnerships in coordination wit the Director of Student Services, Director of Admissions, Program Coordinators, and our main campus.16. Manages all Student Aid BC inquiries. Updates and ensures that the portal, officers and PED forms and licenses are current. Serves as the main contact on campus for Student Aid BC.17. Manages the campus participation and enrollment in diverse BC associations such as: BCCAT, PCCAT, WARRUC and ARRUC.18. Provides the bi-annual DLI Enrollment Report to Immigration Canada.19. Develops, maintains and distributes the Student Handbook.20. Maintains student records utilizing the University’s Datatel system (Colleague) and ISP Database.21. Responsible for the graduation process of all students at the Vancouver Campus with the assistance of the Enrollment Services Graduation Specialist, Program Coordinators and Deans. 22. Responsible for the planning and preparation of the Vancouver Commencement Ceremony and Pre-Commencement dinner.23. Responsible for the programs Degree Audit updates and check sheets in collaboration with Program Coordinators and Deans.24. Work with local alumni to support development of local chapter and fundraising initiatives.25. Prepares Enrollment Projections and reports on Enrollment numbers.26. Assists with the preparation of the annual DQAB report.27. Manages the Academic Calendar of the Vancouver Campus.28. Manages the scheduling of all courses and schedule changes in coordination with Program Coordinators and the Enrollment Services Schedule Specialist.29. Adheres to all University policies, academic and financial, as set forth by the University at its U.S. campuses.30. Develops and monitors the Enrollment Services annual budget.31. Performs other duties as assigned by the Vancouver Campus Executive.
Requirements :
1. A master’s degree or a combination of equivalent work experience and education are required; a master’s degree in student Enrollment and Personnel Services, Higher Education Administration or a related field is preferred.
2. A minimum of 3 years of experience in Enrollment Services with increasing levels of responsibility.
3. Strong oral and written communications and interpersonal skills, with the ability to work effectively with a diverse population of students, staff and faculty.
4. Strong problem-solving skills, math aptitude and attention to detail.
5. Strong analytical skills and the ability to work accurately with financial records and reconcile discrepancies.
6. Proficiency in the use of computerized systems for word processing, data management and other applications. Knowledge of Microsoft Office Suite is preferred.
7. Outstanding organizational skills.
8. Knowledge of the Canadian immigration system is preferred.
9. Valid passport for international travel.
10. Valid driver’s license and an acceptable driving record in accordance with the University’s Motor Vehicle policy. An ICBC check will be required at the time of hire and thereafter as deemed appropriate by the University. Candidates for hire will be required to sign a waiver authorizing the ICBC check.
11. Must be willing and able to work flexible hours, including evenings and weekends, as required.
12. Canadian residency or work permit required.
