Director of Operations

Job Overview:

 

The Director of Operations is responsible for the management and administration of the day to day operations of the LUMINA Home Owners Association business. Reports to and maintain communications with the General Manager, Board of Directors, Association Staff and homeowners.

 

Compensation: $90-105k

 

FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future.

 

Your Responsibilities:

 

General:

When necessary, act in the place of the General Manager in his/her absence Assure that all policies, resolutions and other acts of the Board are carried out Be knowledgeable of all Association Governing Documents, Rules and Regulations, Standard Operating Procedures, Safety and General Legal requirements of a LUMINA community association. Provide excellent customer service and communications with fellow Associates, homeowners and Board. Have general knowledge and understanding of building systems and components Assist in Managing all vendor contracts and execution of contracts to the highest quality. Management of all FirstService Residential associates and knowledge of all Corporate policies. Assist in compliance with all Government policies, laws and administrative reporting is complete and timely.

Fiscal:

Provide input and assist General Manager and Board with the preparation of the Association's annual budget; assist with the daily implementation of the annual budget. Perform basic recordkeeping/bookkeeping; be familiar with the chart of accounts and with the procedures involved in accurately coding expense requests and revenue postings. Be familiar with the basic principles of financial management and bookkeeping, including the ability to interpret financial statements and review accounting schedules for the accuracy of posting entries.

Physical:

Assist with preparation of specifications needed for all services received by the Association (e.g., landscaping, trash, insurance, pool, valet, etc.) Along with the General Manager, monitor the Association's Maintenance Preventative Maintenance and to assure planned maintenance occurs. Review the Maintenance Schedule annually with the Maintenance Supervisor to assure completeness of the planned procedures. Assist with bid process as assigned, review bid spec proposals and comparison spreadsheets and make board recommendations as appropriate. Conduct regular community inspections of site. Log work requests in Building Link and generate work orders for maintenance staff and/or contractors

Governance / Administration:

Ensure maintenance of all files, records and correspondence in accordance with company procedures and good business practices Maintain a log of all contracts/agreements with details as to type, vendor, expiration/ renewal days, annual cost, payment terms, and point-of-contact both with the vendor and within the Community Association Attend all Board meetings, where necessary Assist with preparation of Board meeting agenda, and all reports and material needed for Board Packet Conduct regular property inspections to ensure cleanliness and compliance with Association Rules and Regulations. Prepare and maintain log of violations. Serve as liaison with committees, as appropriate Assist with establishing an annual calendar indicating all association activity, deadlines, election, meetings, projects, etc. Assist all homeowners request and refer to General Manager, when necessary. Maintain Association filing -- homeowner filing, correspondence, work orders, accounting documentation etc. Process mailings, as needed and required. Meet with General Manager weekly to ensure completion of open action items. Provide excellent customer service and maintain open lines of communication with fellow Associates, homeowners and Board members.

Skills & Qualifications:.

Strong leadership and people skills. Strong organizational skills Strong written and verbal communication skills Excellent word processing, mathematics and computer skills required

Education & Experience:

Minimum of 3 years’ business experience in an administrative capacity, property management or related studies Four-year degree preferred

Physical Requirements and Working Environment:

Must be able to lift 25 lbs. Must be able to sit for extended periods of time. Must have finger dexterity for typing/using a keyboard. Talking and hearing occur continuously in the process of communicating with guests, supervisors, vendors and our clients. Bullet point any specific physical demands such as lifting requirements, standing or sitting, use of keyboard, etc.

Hours over and above normal office hours will occur, including evenings and some weekends. Schedule is subject to change based on business needs. 

 

Supervisory Responsibility:

Will be responsible for supervising a team of associates at the community.
