Director of Program Administration Requisition Number 2023-7522 Overview

The Director of Program Administration designs and implements academic and enrichment programs that align with Boys & Girls Clubs of Lanier’s five core program areas: Character and Leadership Development; Education and Career Development; Health and Life Skills; The Arts; and Sports, Fitness and Recreation. Develops curriculum or content for Clubs or other educational materials. The Director of Program Administration may oversee the operations of training certification and preparing new and existing programs. Ensures that all federal grant program activities and requirements are met with quality. The Director of Program Administration creates functional strategies and specific positive outcomes for youth. Deep knowledge of BGCA’s programs; and federal, state, and local grant funded programs such as 21st CCLC, OJJDP, Boost, and Georgia Alliance is necessary to the overall function of the department.

Responsibilities

KEY ROLES AND RESPONSIBILITIES:

Plan and oversee the administration of Club-wide programs and activities that support organizational established standards of operating Clubs.Ensures the organization’s compliance with applicable federal grants including safety and certification requirements are met.Collaborates with other management staff to draft and implement an annual program schedule based on requirements of all federal, state, and local funding.Completes comprehensive federal, state, and local grant reports in a timely manner.Establish goals and objectives consistent with BGCA 2025 plan for developing quality program and implementation of effective models.Work in collaboration with Area Managers to ensure members are engaged in quality programs and employees are providing exceptional services to their members.Ensure grant outcomes and deliverables are met for all programming and grant funded programs.Works with Teen Center Director ensuring program reflects needs and is meeting requirements of Alliance, and grant deliverables.In collaboration with Teen Center Director, oversees Youth of the Year program ensuring the program has a minimum of four participants annually.Planning, coordinating, and ensuring implementation of 21st CCLC program components, Homework Help, Sports & Life Skills, Triple Play, Technology, Family Involvement, Character & Citizenship, and Conflict Resolution.Works with the Area Managers to plan and coordinate implementation and quality of Tutorial Services.Provide leadership and development to departmental staff.Coordinate program evaluation and continuous quality management process with Unit Directors and 21st CCLC site directors and 21st CCLC staff and make programmatic adjustments based upon feedback and data collected and analyzed during periodic reviews.Prepare and submit all 21st CCLC Learning Program reports.Prepare program reports for Success Academy Programs, and Club Fit Programs.Work closely with program partners such as Hall County, Gainesville City, Buford, Habersham Schools, Center Point Mentoring, and community non-profits to ensure shared services are being implemented.Coordinate 21st CCLC Summer Program Activities including field trip opportunities to expose members to educational activities, sporting activities, science, and technology activities.Work with Director of Finance to ensure grant funds are spent in accordance with 21st CCLC project program budgets and in accordance with federal guidelines and funding streams are clearly separate and defined.Ensures implementation of Club Fit, Success Academy, and pass-through grants.Supervise Outcomes Measurement Specialist, Director of Healthy Lifestyles, MESH Coordinator.

COMPLIANCE:

Act as compliance officer for programs and grant deliverables.Ensure all monitoring documents are kept on file.Ensure all Cayan, Kids Trax, and My Club Hub databases are compliant with established standards.Work closely with staff to ensure they can deliver the needed outcomes for the Success Academy program and other grant-related programs and activities.Ensure ratios are maintained in club sites.

MONITORING, REPORTING, ANALYSIS AND FOLLOW-UP:

Ensure files at sites reflect all required information outlined for 21st CCLC programs.Work with Area Managers to coordinate training for staff development and effective performance.Get approval for unbudgeted items from 21st CCLC finance director for state program.

PARTNERSHIP DEVELOPMENT:

Develop strategic alliances with community leaders and local officials.Develop collaborative partnerships with other community organizations for services.

 

Qualifications

EDUCATION:

Bachelor's degree from an accredited college or three or more years of experience working with federal, state, and local grant requirements.EXPERIENCE:A minimum of 3-5 years of youth development or other not-for-profit organization with emphasis on program design and delivery of quality services.

ENVIRONMENT & WORKING CONDITIONS:

 

Normal internal office environment with frequent travel to Clubs. Weekend and evening work to support organization’s fundraising events, committee meetings, special events, and activities. Frequent internal contact with employees throughout the organization is required. Physical requirements include walking, climbing stairs, and sitting for four plus hours per day. Light work, exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently.
