Coordinate and manage the overall operations of the Purchasing, Receiving and Storeroom Department to ensure that all departments of the resort and Private Residences have adequate supplies to perform their duties in an efficient manner. Keep abreast of new and alternative products in the market and consult with resort management on products to enhance cost effectiveness and quality standards. Maintain the highest level of integrity and transparency in dealing with business partners and ensure that business is awarded fairly.What you will do:-Be a part of the pre-opening team! -Maintain harmonious and professional relationship with all departments and residences team to promote effective purchasing, and with all delivery drivers, vendors, and representatives to promote effective and positive purchasing and receiving practices. -Must be able to perform all duties that are usually performed by Dock Controller. -Supervise/work together with office parcel, departments and private residences to ensure that all incoming and outgoing deliveries are verified, scheduled, and meet all safety requirements. -Supervise the day-to-day, train, and motivate Purchasing Department employees to thoroughly understand all of their duties and responsibilities. -Conduct frequent quality control audits to ensure staff are properly trained and following established procedures. -Take appropriate personnel-related action (i.e. hire, commend, discipline, evaluate, etc.) with Purchasing staff as required. Hold monthly department meetings with staff. Prepare and review staff schedules in accordance with business needs.-Ensure all local and corporate policies, rules, internal controls and procedures and safeguards as they relate to the Purchasing Department are complied with. -Ensure proper authorization has been obtained for all hotel-specific purchasing contracts and conduct, manage and complete competitive bids in accordance with policy and ensure bids are on file where applicable prior to execution of contracts. -Ensure Management Agreement and all other Purchasing Agreement terms and conditions are fulfilled. Manage verification of all new Suppliers, Credit applications, Verification of w-9 business legitimacy, based on business needs in conjunction with Four Seasons Vendor Alignment Goals and Initiatives. -Work closely with consultants to ensure the full benefit of their advice is realized.-Monitor the status of slow-moving stocks and ensure a Slow-Moving Stocks Report is circulated monthly to the Director of Finance and the respective Division Heads concerned. -Ensure that all purchase order requests are properly documented and accounted for, completed and approved before a purchase order is prepared and the items are purchased. -Monitor daily costs and prepare or review a daily and month-to-date Food & Beverage Cost Report. -Manage and Control Alcohol Purchases in alignment with Four Seasons Policies & Procedures, Minnesota State and US Liquor Laws. -Establish and maintain par stocks on all inventoried items, keeping in mind that inventory levels must be kept as low as possible without compromising the efficiency of the resort and residences. -Ensure that all storage areas are secure, clean and properly organized. -Coordinate purchases related to capital projects with the corporate Purchasing Department as well as outside contractors. -Ensure that the department works closely with the Executive Chef and the Food & Beverage Director to purchase the highest quality products while constantly searching for the most competitive price. As required, attend Food & Beverage Meeting to review prior month’s Food & Beverage Cost Report to highlight actions. -Assist the Director of Finance in preparing forecasts and budgets as required locally, by corporate office or Management Agreement. Assist Accounts Payable Clerk in researching any discrepancies on invoices. -Assist and manage all Purchase order Reconciliation and Accounts Payable maintenance in relation to receivable goods. -Work Closely with Receiving Clerk to verify Receiving records to align with invoices to process in timely manner. -Review monthly vendor statements and coordinate invoice efficiency with Cap Gemini. -Coordinate and participate as necessary in all month-end, quarterly or annual inventories of food, beverage, operating equipment and supplies. -Complete the corporate annual operating equipment and supply requirements with the corporate Purchasing Department and the appropriate hotel department heads, including quarterly review and update of annual forecasts.-Assist when available Will Call Pickups and Warehouse inspections of suppliers.What you will bring:-College degree preferred in business administration, supply chain management, or equivalent experience in a similar leadership position. -Must have a minimum of five years’ experience in hotel purchasing and a minimum of two years' experience as hotel Director of Purchasing. -Proven success record in procurement and purchasing management. -Experience in a luxury resort is preferred.-Require a basic technical knowledge of generally accepted accounting principles and job knowledge of all positions in Purchasing and Food & Beverage control.-Must have working knowledge of computers. Proficient in Microsoft Office systems, including Word, Excel, and procurement software and systems.-Must be able to lift a minimum of 50 lbs and have the ability to stand for 8 hours.-Lifting, pushing, pulling, carrying equipment, lifting boxes, bending, knelling mobility is all required for this role. -Exhibit excellent interpersonal and customer service skills. -Demonstrate strong organizational skills and possess the ability to work autonomously. -Fluency in English is required for this location and this job requires applicants to have current work authorization in the in the United States. -The hospitality business functions seven (7) days a week, twenty-four (24) hours a day and scheduled days and times may vary based on need.What we are offering you:Four Seasons believes in offering the best to the best when it comes to employee benefits!
