General Description:The Director of Operations, Frames Data, is responsible for the maintenance and growth of the Frames Data database, ensuring each department contributes to the daily updates from our 130+ frame company clients. This in turn ensures that we continue to support our revenue-generating subscribers and licensee clients with ongoing new data, imagery, and support. This role is responsible for management and oversight of several departments: Client Services/Data Management, Traffic & Inventory, Custom Photography Studio, the Studiobox Team, and the Developer. In addition, the position is responsible for process and product improvement as well as managing projects and business relationships with Frames Data’s frame company, optical lab, and retail clients. The Director of Operations is a member of the Frames Data management team, and is expected to contribute to the ongoing strategy and direction of the Frames Data business. The position is located in WebMD’s Newark, NJ headquarters and is in-office five days a week.

 

Job Responsibilities:Client ServicesEnsure the database is populated with data and images of active frame listings correctly and in a timely mannerMonitor and audit for completeness and accuracyMeet agreed-upon fill-rate metrics for key data points, trace files, and imagesNurture and support 130+ client relationships and manage any issues that ariseTraffic & InventoryEnsure smooth process of inventory flow through required workflow stagesMonitor daily/weekly metrics reports for staff Custom Photo StudioEnsure successful negotiation, scheduling and prioritization of all studio jobs and ensure all client-specific quality standards and deadlines are metStudiobox ProductionOversee Studiobox process with 3D imaging partner (FittingBox) and manage the relationship per the contractual terms outlined in the Annual AgreementDevelopmentManage Frames Data’s in-house development efforts and Sr. DeveloperManage relationship with Frames Data’s IT consultants, TrazerEdge, who manage the software environments for the Frames Data databaseResponsible for overall process improvement as well as developing and enhancing business applicationsEnsure technology and processes are up-to-date, for example ensure our image capture, database management, and management software (Panorama) are kept in pace with available technologies and continually look to improve to serve the evolving needs of the business and clientsOversee quarterly billing process and distribution of electronic invoicesResponsible for adherence to established budgetsOversee administrative responsibilities to ensure a high level of customer satisfaction is maintainedDetermine and track customer requirements and expectations in order to ensure standards and requirements are metManage team of four direct reports and eight indirect reportsProvide guidance and support to staff as neededHire, train, and develop staff membersProvide coaching, feedback, and mentoring to staffProactively address employee performance issues and complete performance reviewsAdhere to HR guidelines and processes, including managing employees in Dayforce systemAttend industry and association meetings as neededOther duties as assigned



Qualifications:Bachelor’s degree or equivalent requiredMinimum ten (10) years’ management experienceDemonstrated experience successfully managing direct and indirect reports across a variety of functionsHealthcare and/or optical industry experience is a plusExperience with databases and data hygiene practicesFamiliarity and experience with SQL and software development environmentsProficiency with Microsoft Office applications (Word, Excel, Powerpoint) and Google apps (Sheets, Docs, Slides)Goal-oriented team player Ability to work collaboratively with peers and cross-functional members of the teamStrong written and verbal communication skillsParticipatory and accountable with solid work ethic and a commitment to quality Demonstrated initiative, creativity and leadership skillsExcellent management skills effectively supervising a successful team of managers, responding quickly to changing prioritiesOutstanding customer service, organizational, interpersonal and time management skillsDemonstrated ability to thrive in a dynamic and fast-paced environment Self-directed and confident with ability to multi-task Strong time management and organization skills
