The Role

Summary:

The Director Portfolio Maintenance is responsible for the maintenance management/operations of a portfolio of assigned communities, including direct oversight of the on-site maintenance managers, systems utilization (i.e., Workday, Sight Plan, MRI, etc.), the selection and oversight of third-party vendors, and quality control.

Essential Job Functions:

Manages maintenance operations related to the portfolio of assigned communities, such as staff recruitment/retention, training, financial budget planning and performance, customer service, and third-party vendor/suppliers, to maximize revenue, control expense, and improve customer satisfaction in support of AVB’s business goals.Develops, implements, and monitors effective programs designed to provide the appropriate level of maintenance service at each of the assigned communities consistent with AVB policies and standards.Manages the flow of information to ensure that the overhead management team and the on-site maintenance teams are aware of relevant business issues specific to the maintenance operation.Manages continuous improvement efforts within sphere-of-influence by identifying and implementing initiatives to improve the overall maintenance operation at each of the assigned communities and the portfolio overall.Oversees the disaster recovery process across multiple communities and ensures that Maintenance Managers and associate teams have appropriate tools and resources and comply with AvalonBay policy, as appropriate.Ensures that customer service issues related to maintenance in the assigned portfolio are addressed in a timely manner consistent with AVB policies and standards, implements solutions to issues identified through our annual customer service survey, and monitors the effectiveness of proposed solutions.Utilizes various AVB systems to monitor and analyze trends regarding the effectiveness of maintenance programs, the improvement of customer satisfaction, the efficiencies and expense control, and the management of on-site maintenance teams.Resolves employee relation issues, provides developmental support to subordinates via coaching, counseling, and training, and ensures that a pool of succession candidates is available to meet business goals.Determines the business needs at each site and for the overall portfolio and allocates human resources, materials, and third-party services to address the short and long-term needs of the assigned portfolio.Ensures compliance with all federal, state, and local laws specifically related to the maintenance operations for the assigned portfolio.

Minimum Qualifications:

Education:

Bachelor’s degree required, with a concentration in Engineering or a related field preferred, OR equivalent 5 years of progressive maintenance management responsibility in property management, building services, hospitality, or another dynamic environment.

Certification or Licensures:

Valid driver’s license and automobile insurance required.Certification in systems such as boilers, HVAC, Chillers, Cooling Towers, fire, steam, electrical, and plumbing consistent with the specific needs of the portfolio of communities to be managed required.Other licenses and certifications as required by state or local jurisdictions.

Experience:

5-7 years of management experience overseeing multiple direct reports in the maintenance/engineering function.

Knowledge, Skills and Abilities:

Effectively manages a portfolio of communities as evidenced by a work history of addressing issues such as third-party vendor oversight, systems utilization, maintenance operations, personnel management, team building, customer services, budget management, and negotiations.Utilizes software and AVB systems, such as Microsoft Office (word processing, spreadsheets, presentations), Workday, Sight Plan, MRI and other systems currently in use or in use in the future in order to manage and administer the maintenance operations of the assigned portfolio.Reads and writes English as demonstrated by clear and concise written and verbal communications.Creates and delivers group presentations on function-related subject matter and writes reports in a clear, concise form.Performs basic arithmetic skills (measurement, addition, subtraction, multiplication, and division) to do basic calculations and analyses such as estimating, determining averages and percentages, and calculating totals as outlined under the Business Math Policy (8-01) in the AvalonBay Procedures Manual.Frequently operates general office equipment such as, but not limited to, personal computer, telephone, photocopying machine, facsimile machine, and postage machine.Exhibits ability to frequently stand, walk, stoop, kneel, crouch, crawl, and climb (stairs, ladders, etc.).Occasionally operates motorized vehicles such as, but not limited to, a car, truck, van or golf cart.
