Description
We are seeking a highly organized and detail-oriented Dispatch & Operations Coordinator to manage the scheduling and dispatching of HVAC technicians for service calls, maintenance, and installations. This role requires strong coordination skills, the ability to adapt to changing priorities, and excellent communication abilities to ensure efficient operations and high levels of customer satisfaction.
Responsibilities:
+ Schedule and dispatch HVAC technicians for service calls, maintenance, and installations, and respond to customer emergencies, and develop quick, effective solutions.
+ Create and assign work orders, capturing critical details from customers and technicians for accurate service and instructional information.
+ Answer phone calls, monitor the service email inbox, and customer portals, ensuring prompt follow-up to customer and technician requests.
+ Assist in issuing purchase orders and maintaining PO records within the ERP system.
+ Review technicians' weekly time reports, resolving discrepancies promptly.
+ Monitor unfinished work orders, communicating with technicians to track progress and completion strategies.
+ Prepare work orders for billing, ensuring accuracy in billing information and completed work statements to support the batch billing review process.
+ Follow up on unpaid invoices, providing necessary documentation to facilitate timely payments.
+ Collaborate with technicians and vendors to process parts returns.
+ Assist in analyzing reports and data to enhance business operations and efficiency.
+ Provide additional operational support as needed to ensure the success of the operations.
Requirements
Qualifications
+ Previous experience in dispatch, operations, or customer service, preferably in the HVAC, plumbing, or similar service industry.
+ Strong organizational skills with the ability to multitask and prioritize workloads.
+ Excellent communication skills, both verbal and written.
+ Proficiency in ERP systems and Microsoft Office Suite.
+ Problem-solving skills with a proactive approach to operational challenges.
+ Knowledge of HVAC terminology and industry best practices is a plus.
+ Prior supervisory experience is desirable.
Salary & Benefits:
+ Salary range is $50-65K
+ Benefits include medical, dental, and vision
+ 2 weeks PTO
