Overview Summary: The Dispatch (XBE) Coordinator will interact with our vendors, haulers, and various internal teams within a professional and service orientated environment. This position helps ensure the highest levels of service, satisfaction, and profitability. The XBE Coordinator is an essential function to hauler pay and transaction processing. This role utilizes strong organization and communication skills to execute hauler pay and best practices for XBE procedures. The XBE Coordinator role is vital to the success and performance of our central dispatch operations. Principal Duties and Responsibilities: Specific Accountabilities: • Reports to Service Logistics Manager (SLM) • Treat customers, haulers, and co-workers in a friendly, courteous, and serving manner • Adhering to and championing Ozinga company values of Service, Learning & Entrepreneurship • Responsible for timely approval of XBE timecards • Process hauler inquiries regarding hauler pay • Manage XBE Material Types and develop Material Type Catalog in adherence to Ozinga Product ID standard • Coach Service and Logistics team on best practices in Job Production Plan creation • Train, coach, and maintain driver adherence in utilization of XBE under SLM direction • Review JPPs and adjust as needed • Notify Logistics Lead on rate discrepancies • Develop and train best practices in XBE utilization with Service and Logistics Department • Monitor Checksum twice daily on same day jobs • Manage Material Transactions and hauler submittals • Investigate, identify root cause, and correct errors • Invoice reviewer for all vendor and hauler invoices • Send Broadcasts out dictated by Service and Logistics Manager and/or Logistics Team Global Responsibilities: • Regular attendance and physical presence at work is an essential function of this position • This job may require additional duties not listed above and the employee may be asked to perform those duties to meet business needs Qualifications: Education/Specialized Knowledge/Professional Certifications: • High School Diploma or equivalent required • Bachelor’s Degree in related field preferred • General knowledge of sales and dispatch software Experience: • Specific industry experience preferred Skills/Abilities: • Excellent organization and communication skills • Ability to make quick and logical decisions that meet established goals when under pressure • Communicate effectively with a wide variety of haulers • Ability to read, write, English • Multi-task in a fast-paced environment • Able to remain calm in high pressure situations • Demonstrate proficient computer skills Working Conditions: • Operation within a professional office environment • Routine usage of standard office equipment such as computers, phones, photocopiers and filing cabinets • Customer contact may result in stressful situations • Travel less than 5%, some field work may be involved; minimal travel out of state • Extensive email, text and phone communication • Extended hours during peak season/as business deems necessary • Varied work schedule – split coverage during peak demands • General Office Hours – 8:00AM – 4:00PM Ozinga is an Equal Opportunity Employer.
