So, it is our pleasure to announce that we are currently seeking a full-time candidate for the role of Work Order Dispatcher (WOD) to join our team!
By ICL definition, a Work Order Dispatcher is responsible for receiving, processing, and coordinating work order requests while working alongside the Facilities Manager and dept. They will ensure that maintenance and repair tasks are assigned to the appropriate personnel promptly and that all requests are tracked and completed efficiently. – tasks vary according to the season and individual needs of the program.

MIN. ROLE REQUIREMENTS & PREFERENCES:
Schedule: Monday to Friday, with options for O.T. – 8am – 4:30pm Location: Brooklyn, NY 11215 – occasional travel to other work sites as needed EDU: G.E.D./H.S.E. or higher EXP: 2 years min. of facilities mgmt., dispatching, or related field exp. – preferably in a non-profit setting Proper attire at all times – this includes business casual or professional outer/inner-wear PLEASE NOTE: per ICL policy, all applicants MUST be fully vaccinated against COVID-19 before any potential start date
ESSENTIAL KNOWLEDGE, SKILLS AND ABILITIES:
Ability to maintain confidentiality of private information Ability to be detail-oriented with strong time management skills Ability to sit, stand, bend, kneel, squat, and stretch for long periods Ability to work independently and collaboratively in a fast-paced environment Ability to follow official policies and procedures regarding work orders and dispatching Ability to perform light manual labor, including lifting objects weighing up to 25 lbs or more Knowledge of various software programs, including MS Excel, MS Word, Work Speed, or similar software Strong interpersonal dexterity – MUST exhibit interest in being a team player and all its affiliated characteristics Strong communication, writing, conveying, and critical thinking skills – bi-lingual is a plus but not mandatory Ability to multitask and follow all safety guidelines per the performance of the tasks mentioned below...
WORK ORDER DISPATCH TASKS:
System Management – utilize the work order management system to track and manage all requests; and ensure data integrity and accuracy within the system. Compliance & Safety – ensure all work orders comply with company policies and safety regulations; report any safety concerns or incidents to the Facilities Manager. Receive & Process Work Orders – receive work order requests via phone, email, or work order management system (e.g., Angus Anywhere); enter and prioritize work orders based on urgency and importance. Record & Coordinate – maintain accurate records of all work orders, including details of the request, assigned personnel, and completion status; generate and distribute reports on work order status and departmental performance metrics. Communication & Customer Service – act as the main point of contact for all facilities-related inquiries and issues; provide excellent customer service to internal and external stakeholders; communicate effectively with facilities staff, contractors, and other depts. Dispatch & Coordinate – assign work orders to the appropriate maintenance staff or external contractors; schedule and coordinate maintenance and repair activities to ensure timely completion; communicate with requesters to provide updates on the status of their requests.
