Job Summary

As a District Office Administrative Assistant, you are responsible for contributing to the efficient use of the District Office Manager’s time by relieving the manager of those administrative details capable of being delegated.

This position is located on-site in Bloomington, MN at our District Office.

This position will require up to 10% of working time travel.

Relocation assistance is not available for this position.

What You Will Do:

Manage all aspects of the district office to keep it fully operational and at peak performance level.  This includes lease and capital purchase functions of all office equipment.

Coordinate summaries for the executive office.

Manage Distribution Director's expense book and calendar on a regular basis.

Run Monthly Reports.

Organize and coordinate all aspects of various district meetings.  Select meeting facility, book meeting rooms and guest rooms, plan meals and activities, schedule transportation, and communicate details to attendees in a clear and concise manner.  (Approximately 3 events/large scale meetings annually).

The position assists peers within the group and promotes a spirit of cooperation and teamwork for each of the industry and functional teams within the district.

Process all accounts payable and receivable for the district.  Manage monthly accounts and resolve differences when they occur.  

Prepare Indirect Material and Expense (IM&E) portion of the division budget. Track progress on detailed spreadsheet and graphs and report information.

Produce multi-media presentations as needed for areas within scope of responsibility.

What You Have (Required Skills):

High school diploma of GED

Experience in an administrative role; preferably within a large matrixed organization

Experience drafting communications, proofreading documents, and formatting documents appropriately

Experience working and thinking independently while maintaining superior organization and a high level of confidentiality and professionalism.

What Will Set You Apart (Preferred Skills):

Associates degree or higher

Experience working in Microsoft Office Suite (specifically creating PowerPoint presentations, basic spreadsheets, and communications on manager's behalf).

Experience understanding the company organization and its operations with a detailed knowledge of functions and responsibilities of the departments within the assigned areas.
