Objective The Division Operations Coordinator is responsible for carrying out all administrative and managerial tasks for the division. The position will also produce and analyze reports and data information to assist Division leadership in making decisions on enrollment, registration, and operational issues.
The position will also assist students related to: selection of majors, course enrollment, and transfer information. Required Quals Summary 1. Bachelor’s Degree

Principal Accountabilities 1. Obtain and maintain an in-depth understanding of the division’s measurement criteria and the systems and reports that display and analyze recruitment and retention data while promoting continuous process improvement and increased visibility for the college as it relates to assessment, data collection, and representation in collaboration with other college departments.
2. Design, develop, and produce ad hoc reports and analyses by assimilating data from institutional databases and records to support the division Programs; including the maintenance of appropriate records. Ex. Majors Project & Report, Lost Grads, graduation, employment, program review, enrollment comparison figures and student rosters. Prepare complex mathematical comparisons in tabular and graphic format, make recommendation to Dean based on analysis of data.
3. Collect assessment documents and ensure that these are turned in on time.
Implement and oversee data entry of Student Perceptions of Instruction (SPOIs), and alike work.
4. Advise students and support enrollment recruitment and retention – including assisting with student registration, directing students to appropriate articulation/transfer agreements applicable to their goals. Draft and update articulation agreements as directed, ensuring compliance.
5. Provide Academic Support to the division by ensuring the division has all required documents for faculty credentials, that new faculty have the proper documentation, orientation, and mentoring to successfully meet student needs, monitor the Faculty Load Report for compliance, ensure that course syllabi are posted on the web site within seven days of the class start date, track Official Day Rolls, evaluations, and related items for faculty.
6. Keep curriculum, catalog, division web site, degrees/certification plans up to date ensuring compliance with state requirements.
7. Provide Division Support – Assists in program coordination, admissions, registration, database maintenance, textbook ordering, graduation activities, Division record keeping, division telephone directory updates, web site updates, mailbox updates, schedule meetings for Deans and Assistant Deans with college constituencies, maintain Division administrative procedures manual, division space usage, and alike duties.
8. Call for equipment repairs and HVAC issues in the classroom Inspect rooms and equipment for repairs and maintenance.
9. Monitor inventory and purchasing Stock, replenish, ensure working order for copiers, printers, fax machines, etc.
10. Help Recruit Advisory Board Members for technical programs. Assist with Advisory Board meetings: at a minimum, twice per academic year.
11. Facilitate travel requests for full- and part-time faculty.
12. Performs other duties as assigned. Minimum Qualifications
