Job Description

The Divisional Operations Specialist is responsible for supporting the day-to-day operations of the Senior Divisional Leader of Restaurants. This fast-paced role is tasked with administrative tasks, meeting planning, team management, travel accommodations and serving as the liaison between several RSO departments.

Your Impact and Responsibilities:

Maintain the Sr. Divisional Leader of Restaurants business calendar and executive calendar, scheduling meetings, appointments, and events with minimal oversight.Manages travel reservations for the Sr. Divisional Leader by researching optimal travel and accommodation options, presenting options to the Sr. Divisional Leader, booking, managing and communicating all travel details and changes.Plans, leads and executes successful regional events and supports the planning of divisional meetings and events.Monitors and tracks departments deadlines and partners with various departments, as needed, to ensure timely completion.Creates and proofreads various documents in partnership with the Sr. Divisional Leader.Collaborates with various departments to coordinate and gather restaurant information prior to Sr. Divisional Leader’s restaurant visits.Prepares materials/presentations for meetings in partnership with the Sr. Divisional Leader and attend meetings to record, transcribe and distribute meeting minutes.Keeps track and updates divisional information (contacts, team movement, restaurant information, etc.).Prepare agendas, presentations, and supporting materials for key meetings in partnership with the Sr. Divisional Leader. Collaborates with other RSO departments for planning processes and supports other teams as needed.Performs various tasks for the Sr. Divisional Leader, including but not limited to, planning, ticket distribution, tracking and coordination.Tracks, analyzes, and submits budget reports along with  managing project and department expenses.Tracks the departments paid time off requests and informs the Sr. Divisional Leader and Crew Resources, as needed/requested.Coordinates project-based work as needed.Identifies and provides improvement opportunities for the Division based on business need/trends, etc.Qualifications 2+ Years of operations support experience preferredAble to handle confidential information with utmost discretion and professionalismSkilled in leveraging interpersonal skills to build relationships with key stakeholders, fostering trust and loyaltyKnowledge of operational and administrative practices and proceduresAble to examine & understand various reporting systems and tools Detail-oriented, organized and able to manage multiple priorities in a fast-paced environment Self-driven, flexible, and highly energetic with strong written and verbal communication skills Able to work effectively and efficiently both independently and collaboratively Able to work beyond traditional restaurant support hours, as the business dictatesProficient in Microsoft Office Suite: Word, Excel, Power Point and OutlookBachelor’s Degree preferred, or equivalent experienceAdditional Information
