We are seeking a highly skilled, detail-oriented, and motivated Document Control Administrator to join our dynamic team in a full-time, on-site role based in Los Angeles, CA. The ideal candidate will play a critical role in supporting the project team by ensuring efficient management and control of project documentation for large-scale infrastructure projects.
**Key Responsibilities:**
+ **Document Management & Control:**
+ Assist the Project Manager, Construction Manager, and project teams in all aspects related to project documents, ensuring proper control, tracking, and distribution of critical project documents.
+ Process, organize, and maintain all project documents in accordance with established document control procedures and project-specific requirements.
+ Track and file contractor, subcontractor, and project submittals, including but not limited to insurance certificates, schedules, technical submittals, safety documentation, invoices, and correspondence.
+ **RFI and Submittals Management:**
+ Track, file, and log incoming and outgoing Requests for Information (RFIs), ensuring that all inquiries are properly documented and followed up on.
+ Coordinate and ensure timely routing of RFI responses to relevant stakeholders, maintaining accurate records for project tracking and resolution.
+ **Communication & Distribution:**
+ Distribute key project documents including weekly meeting minutes, progress reports, memos, correspondence, and other critical information to the project team, subcontractors, and stakeholders.
+ Ensure smooth communication of all documentation between the project site and home office, including the accurate routing of forms, contracts, and paperwork.
+ **Change Management & Field Orders:**
+ Maintain a comprehensive field order log and process field order write-ups, ensuring that all changes to the contractor’s work scope are accurately documented and authorized.
+ Collaborate with the Project Manager and Construction Manager to facilitate the approval process for scope changes and ensure proper documentation is maintained.
+ **Vendor & Invoice Tracking:**
+ Track vendor invoices and payments, ensuring that all necessary approvals are obtained and documents are filed in an organized manner for efficient payment processing.
+ Maintain accurate records of vendor contracts and ensure compliance with project financial processes.
+ **Quality Assurance & Continuous Improvement:**
+ Maintain an organized and accessible electronic and physical document storage system.
+ Ensure compliance with industry standards and project-specific guidelines related to document control practices.
+ Identify opportunities to streamline document control processes and implement improvements to enhance efficiency and accuracy.
**Minimum Qualifications:**
+ **Educational Requirements:**
+ High school diploma (or equivalent) is required. A Bachelor’s degree in Engineering, Architecture, Construction Management, or a related field is preferred.
+ **Experience:**
+ 5-10 years or more of experience in document processing and data management, with a focus on large-scale infrastructure projects (transit, utilities, roads, etc.) highly preferred.
+ Minimum of 3 years in Construction Management or General Contracting, with hands-on experience in document control processes on complex construction projects.
+ Proven experience with document management systems and project submittals, RFIs, and change orders.
+ **Skills & Expertise:**
+ Strong attention to detail, organizational skills, and the ability to manage multiple tasks efficiently.
+ Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Adobe Acrobat for document management and editing.
+ Excellent written and verbal communication skills, with the ability to liaise effectively with project teams, clients, contractors, and vendors.
**Compensation:**
$20hr-38hr
The expected salary range for the position is displayed in accordance with the state’s law. Final agreed upon compensation is based upon individual qualifications and experience.
