The Facilities Management and Airport Design and Construction departments are seeking two dedicated Document Control Coordinators to play a key role in managing and optimizing both physical and electronic documents. We’re looking for individuals with a keen eye for detail and a proactive mindset to ensure smooth document workflows and maintain compliance with policies. The ideal candidates will bring experience in document management and policy adherence, with a commitment to driving efficiency and organization across our teams.
What You’ll Do:
Technical Assistance & System Management: Support electronic document management system, migrate legacy documents, and troubleshoot software issues with stakeholders; provide best practices training; collaborate with stakeholders to troubleshoot and resolve system and software issues. Document Control & Compliance: Manage document control programs to ensure compliance with internal standards, laws, and regulations; serve as Records Coordinator. Contract Solicitation Support: Participate in Request for Proposals for service agreements, assist in the electronic distribution of bid package proposals to stakeholders. Public Records Request: Respond to Public Records Requests in accordance with the California Public Records Act, ensure compliance of 49 CFR 1520 protection of sensitive security information. Coding & Indexing Management: Develop and maintain coding, review and apply appropriate indexing structures, and processes for document management; create, update, and maintain technical documentation such as manuals, SOPs, and workflows. Training & Employee Transition: Conduct document control training and facilitate exit interviews for departing employees; perform other duties as assigned.The Skills We Are Looking For:
