Job Description

Pay Rate: $106228 to a maximum of $136106 Per Year. Incentive: 15% Target

Position Purpose: 

We seek a detail-oriented and tech-savvy PMO Specialist to join our dynamic team. The ideal candidate will assist in streamlining project management processes, enhance document control, and support digital innovation initiatives within our CAPEX projects across North America.

The PMO Document Control Manager is responsible for enhancing project management efficiency and effectiveness through streamlined document control processes and digital innovation initiatives. This role ensures the timely and accurate distribution of information across project teams, manages the documentation lifecycle and implements robust procedures for maintaining transparent, current, and traceable records. The specialist will play a crucial role in supporting CAPEX projects across North America by leveraging their technical expertise to optimize document management systems, facilitate seamless information access, and drive digital transformation within the Project Management Office. Through these efforts, the position contributes significantly to project success and organizational efficiency in our dynamic, fast-paced environment.

The role requires accurate information to be distributed throughout the project team on time and to the people who need it. Responsibilities include compiling contracts, archiving files, and ensuring all team members can access necessary documentation. Additionally, implement procedures to maintain transparent, up-to-date, and easily traceable documents.

Primary Duties/Responsibilities:

Implement and maintain project management methodologies and best practices, including document control procedures.Manage and organize project documentation using AODocs and other document control software.Manage implementation of our Project Document Control Procedures on various projects, acting as project document controller as needed.Develop and Implement Project Process Develop and maintain classification systems for efficient document retrieval and organization.Develop AO Docs training program, train project teams and third party users as needed.Conduct data analysis to support project decision-making and reporting.Create and maintain project dashboards and reports using Google Workplace tools and AppSheet.Structure data, mapping, and visualization for effective project management.Ensure all documentation meets formal requirements and required standards.Control the flow of documents within the project team and between external stakeholders.Maintain accurate records of document receipt, issue, and distribution, ensuring timely responses when required.Conduct regular document reviews and audits to ensure compliance and accuracy.Collaborate with project teams to identify areas for digital innovation and process improvement.Support the PMO in various project management activities within the waste management industry.Travel to project sites across North America as required to support local project teams and deploy tools.Maintain confidentiality around sensitive information and ensure secure destruction of sensitive documents when necessary.Update and maintain document management systems, including both digital and physical records.

Qualifications

Education/Experience/Background:

Bachelor's degree in Construction Management, Business Administration, Information Management, Industrial Engineering and Management or a related field.5 + years of experience in document control management, project management.Familiarity with AODocs and other document control software.Experience with document classification methodologies.Experience in the waste management or environmental services industry.Proficiency in additional project management or data analysis tools.

Knowledge/Skills/Abilities:

Proficiency in data analysis and visualization.Strong skills in digital innovation, particularly with AppSheet and Google Workplace tools.Basic knowledge of project management principles and practices.Excellent organizational and communication skills.Ability to travel and work in various locations across North America.Ability to work with cross-functional teams and with other internal Business Units.Flexibility, capability to work in an international group, open-minded.Quick learner and a good team player.

Required Certification/Licenses/Training:

Project Management & Execution Cert or relevant coursework will be a plus.

Physical Requirements:

Able to travel across the U.S. and Canada.
