As an Insurance Document Associate, you will work as part of a team responsible for opening, evaluating, acknowledging, and distributing mail in support of an assigned business unit. You will examine incoming mail to ensure it has reached the accurate destination, re-routing any misdirected mail to the correct area. Per established guidelines, you will be responsible for officially identifying/acknowledging receipt of all incoming mail. You will report information to the underwriter, verify required information, and complete associated forms, responsible for identifying when to raise problems/exceptions to the Team Leader or Manager. Additional responsibilities include receiving and slotting mail for distribution; sorting and delivering print-outs; FedEx sorting and distribution; assisting as needed with Electronic Document Conversion. Above all, you demand excellence of yourself; you handle tasks with the highest possible degree of accuracy and discretion.
Responsibilities
+ Complete underwriting and/or claims document review and audit by appropriately identifying and analyzing various types of applications and documents for all product lines using detailed procedures and appropriate job aids.
+ Review high priority insurance, mail, and/or claim documents and route misrouted forms and documents appropriately.
+ Coordinate documents according to guidelines for the type of product.
+ Identify and classify documents and include generic or custom ID sheets with the document name.
+ Prepare documents for scanning by placing them and ID sheets in the correct order and resolving the correct scan path.
+ Meet all established service level agreements.
+ Complete review and audit using criteria for underwriting requirements, post-approval, and EKG mail, including determining the correct procedure for processing documents and forwarding non-e-files or misdirected documents to the appropriate business area.
+ Identify and prepare checks by type and deposit 1035 and premium checks to the SAMs system or route to Banking and Cash Management using appropriate guidelines.
+ Access the DI benefits connection function to identify DI benefits mail documents as ‘received’ and index mail as needed.
+ Analyze and review using knowledge of forms and procedures, underwriting, and claims documents and forms images that are auto-classified/indexed by the system to identify potential issues/errors.
+ Ensure electronic document images are legible and usable for their intended purpose and re-scan if necessary.
+ Review underwriting and claims faxes by accessing the RightFax queue.
+ Analyze and identify underwriting and claims documents to select the most efficient method of processing.
+ Electronically prep documents by placing them in the correct order using established guidelines.
+ Identify and handle documents with obvious modifications.
+ Classify, index, craft, and match ID sheets with the appropriate fax.
+ Accurately and consistently scan documents while ensuring high image quality, selecting and scanning using the correct scan path, and troubleshooting scanner problems.
+ Re-scan documents due to requests from business areas or error messages, investigate and research unidentifiable mail, resolve policy number/claim number and accurate disposition for non-E-Files/DI Connection mail, handle original document requests from business areas, and audit/test documents to validate document classification and/or system improvements/upgrades.
+ Maintain and ship documents to the Records Center, open application, DI Benefits, and/or post-approval pouch mail, respond to basic inquiries for rescans and original documents, monitor LAN, and perform miscellaneous duties as assigned by Team Leader and/or Manager.
Essential Skills
+ High school diploma or equivalency.
+ 1-2 years of prior mail handling or customer service experience.
+ Strong ability to coordinate and prioritize work under tight time constraints.
+ High degree of accuracy and ability to work in a fast-paced environment.
+ Basic PC proficiency.
+ Ability to work independently within established policy standards and procedures.
+ Strong team worker with proven ability to work effectively and collaboratively.
+ Ability to handle confidential information in a manner consistent with privacy laws and regulations.
+ Ability to multi-task and navigate using various systems.
+ Must be able to lift 15-20lbs consistently.

Pay and Benefits
The pay range for this position is $15.00 - $16.00/hr.
