Document Controls Coordinator

Job Summary

The Marathon Kenai Alaska Refinery's Engineering Department has an opening for a Document Coordinator who will organize the lifecycle of technical documentation to make it universally accessible and useful through a trusted process.  The person will support refinery operation by organizing and administering a documentation system for critical engineering documents and Process Safety Information (PSI).  A successful candidate will be self-motivated and able to work independently to achieve the expected results. The available schedules for the position are 9/80 or 5/40 and support of TAR every three years.

Key Responsibilities

Create, secure and revise controlled paper and electronic documents and drawings in accordance with established procedures. Ensure all personnel follow document control process and facilitates awareness of company’s requirements with external contractors.  Ensure all drawings created by contractors and vendors are delivered and electronically filed.

Manage migration of controlled hard copy and electronic documents into appropriate repositories. Collaborate with stakeholders to identify qualifying documentation for accurate and timely entry into electronic document management system and paper-based filing systems.

Serve as point of contact and repository gatekeeper for all Managed Content Documents maintained in a controlled repository. Review and all submissions and updates for applicability and overall consistency and quality.

Support Process Safety Management (PSM) by maintaining the refinery Process Safety Information (PSI) roadmap including location, owner, and conformance status of qualifying documentation.  Generate recommendations in concert with documentation owners for closure of identified gaps.  Participate on PSI Champion Team as team leader and facilitate regular self-audits and Process Hazard Analysis (PHA) readiness audits.

Audit engineering and construction packages to ensure conformity with E-Doc storage and searchability by identifying and correcting discrepancies.  Supports management of change (MOC) work process by facilitating project close-out updates with project engineering.  Ensure plant personnel have access to accurate drawings or redlines.

Serve as refinery representative within the enterprise-wide Document Control Community of Practice (COP).  Maintain proficiency in applicable software such as EDocs, OpenText, SharePoint, and Intelex to correctly systemize and file drawings and other documents.

Education, Experience and Skills 

Minimum Qualifications

Must have a High School Diploma or GED. (Education must be obtained/completed prior to start date) (Degree must be accredited in US.)

Must have at least 5 years of experience working in a high level of structure/system control OR records management.

Must be proficient in Microsoft: Word, Excel and Outlook.

Must be able to take hair drug test and physical.

Must be able to obtain a TWIC Card.

Must be legally authorized to work in the US without the need for future VISA sponsorship.

Travel Requirement is 5% or less.

The available schedules for the position are 9/80 or 5/40 and support of TAR every three years.

Preferred Qualifications

At least 5 years of records management of engineering and design documentation.

Post secondary education can be considered in lieu of years of experience requirement.

Relocation is not available for this position.
