On behalf of our client, the European Space Agency, we are looking for a skilled Documentalist to join our team at the esteemed ESA-ESTEC site, in the Netherlands.
The purpose of this Multi-Directorate Documentation and Data Management Support Service is to perform the document management and control plus administrative tasks supporting the Project Management Support Offices and Organisational Units within ESA Directorates. The Documentation Management service function provides support in the areas of documentation management, configuration control, administration, and user support of electronic tools. The service supports Terrae Novae, ESA’s Human and Robotic Exploration programme referring to the new worlds from our three exploration destinations: Low Earth Orbit, Moon, and Mars.
Main ResponsibilitiesAs Documentalist you will concentrate your activities on the following:
Support the preparation (e.g., (formatting, document versioning control), the coordination of ESA final reports following completion of activities and specifically in CSC the reports for socio economic impact assessments, ensuring correct document versioning and archiving is maintained. Support the Directorate Organisational unit for coordination, preparation, internal review and publication of recurrent and non-recurrent documents prepared by ESA Executive for the Programme Board. Perform proof reading, formatting and editing to ensure documents are structured, written and formatted in a consistent manner prior to issuing. Produce or modify document templates to ensure compliance with GCDs or DRDs for recurrent documentation. Perform the planning, coordination and document readiness tracking for submission of papers to ensure the timely delivery of formal documents. Perform document generation, (e.g., flow-charts, graphics), proof reading, content compilation and editing for recurrent or non-recurrent ESA documents/reports. Support the Directorate Organisational unit for coordination and publication of documents prepared by ESA Executive for the Programme Board depository with correct security and safeguarding of the content. Support the coordination, preparation and perform the timely approval process follow-up of documents to AC and IPC, confirming the documents are structured, written and formatted in a consistent manner in line with AC documentation requirements. Establish and maintain the archive of documents. Support coordination and finalization of document data packs to be issued to EC, International Partners or Member States. A bachelor’s degree from a recognised Institution of secondary studies or equivalent qualification in Business Administration (or Communications as relevant). At least 4 years of previous relevant work experience in a similar role. The candidate should have a broad knowledge to navigate around and understand formal communication and be able to analyse a range of issues within the complex institutional environments of ESA, EU and the relevant industrial landscape. Experience in documentation management and in the field of communication. A good sense of organisation. The work associated to this position can require handling of classified documentation. The candidate shall confirm to be eligible and willing to apply to a Personal Security Clearance from an EU country. The previous possession of a Personal Security Clearance will be considered positively. Be capable to execute activities with a high degree of autonomy. Deliver qualitative output under time pressure. Excellent interpersonal and communication skills as well as tact and discretion are required. Proficiency in the use of the Agency’s information systems and tools is an asset. Proficient in the English language, both written and spoken.
