Due Diligence Coordinator
Summary of Responsibilities: The due diligence coordinator is primarily responsible for supporting every stage of the due diligence process by coordinating the ordering, execution, and reporting of due diligence inspections. This role is responsible for gathering information promptly from key stakeholders, coordinating inspection schedules, and ensuring that the final due diligence package that will be presented to the client is polished and professional. The due diligence coordinator also acts as a liaison between key internal stakeholders and inspection software suppliers. Primary Responsibilities and Objectives: • Provide data-gathering tools and reporting templates for new business and operations associates conducting due diligence inspections • Schedule and host due diligence kick-off calls and emails • Prepare due diligence agreements for execution • Facilitate software set up for due diligence inspections • Track inspections in real-time and raise any areas of concern to internal leadership at the property • Partner with the key internal stakeholders and the client to gather due diligence documentation promptly • Utilize a tracking tool to report on diligence KPIs, including expenses • Facilitate final report creation for timely delivery to the client • Process invoices from due diligence projects • Maintain checklists, templates, policies, practices, and other documentation related to the due diligence process • Maintain due diligence software platform templates, rules, and users • Ensure the due diligence software provider adheres to Avenue5 branding standards and any other policies and procedures related to due diligence reporting • Stay up to date on curriculum, platform, and company policy changes • Adhere to company best practices and local, state, and federal Fair Housing requirements • Perform other duties as assigned Education and Experience: • College degree and/or CPM certification is required for this position. Graduate degree is preferred • A minimum of 15 years of experience in management and the multi-family real estate industry is required • Real estate license as required by state or local law Skills and Requirements: • Intermediate working knowledge of Microsoft Office with advanced Excel skills • Understanding of property management software systems • Excellent customer service and interpersonal skills with the ability to relate to others • Professional verbal and written communication skills • Ability to conduct presentations or speak in public to large groups of people • Strong organizational and time-management skills • Ability to read and comprehend financial statements, such as budgets, etc. • Comprehension of federal fair housing laws and any applicable local housing provisions • Ability to make quick and effective decisions • Must have strong leadership ability including effective decision-making and the ability to multitask • Ability to negotiate a contract • Ability to effectively manage a team • Ability to set and meet goals and deadlines • Ability to maintain flexibility and creativity in a variety of situations • Ability to respond effectively to sensitive inquiries or complaints and maintain confidentiality • Ability to travel on all forms of commercial transportation • Required to complete and successfully pass the Avenue5 Fair Housing, Diversity and Inclusion training within the first 30 days of employment Scheduling: • Required to maintain a regular schedule which may also require working outside of regular schedule, weekends, and non-traditional holidays • Ability to travel (over 50%) including overnight Environment: • Exposure to environment typically found in an office building • Possible exposure to airports, airplanes, rental cars, hotels, etc. Physical Requirements: Avenue5 will make reasonable accommodations to enable individuals with disabilities to perform essential functions.
