Early Childhood Administrative Assistant 1 - Bilingual

Under direct supervision, performs a variety of office, secretarial and/or administrative support for the Early Childhood Services program. The Early Childhood Administrative Assistant 1 – Bilingual performs a varied and complex array of administrative support functions and may be responsible to coordinate certain departmental activities.
Salary Range: $17.89-$26.36/hour (higher rates require a combination of experience and/or bilingual ability)
Qualifications:
High School Diploma required.
One year of experience in an office environment.
Formal secretarial or office management training in lieu of experience may be substituted for experience.
Must have demonstrable computer skills.
Must be able to effectively communicate both orally and in writing
Must possess organizational and time management skills.
Thorough knowledge of English (grammar, spelling, punctuation etc.) as well as fluency (both verbal and written) in a second language.
Responsibilities:
Prepare and manage correspondence, reports and documents that may be confidential in nature.
Organize and coordinate meetings and conferences.
Maintain schedules and calendars.
Greet and direct visitors; accept, screen and route telephone calls.
Communicate verbally and in writing to answer general inquiries concerning activities and operations for the Early Childhood Services program.
Establish, maintain, process and update files, records and other materials.
Order departmental supplies.
Sort and distribute incoming mail.
Prepare photocopies, faxes, and operate a variety of office equipment.
Provide verbal translation as needed for staff, families and other stakeholders.
Translate written documents as needed for families and staff.
Other duties as assigned.
Essential Physical Demands:
Must be able to sit for up to two hours at a time.
Must be able to use all office equipment in use in the assigned office.
Must be able to lift/move, push and pull objects up to 20 lbs
Must be able to pull/retrieve/re-file files
Must be able to sit and use hands and fingers to handle and/or feel
Must be able to communicate via telephone
Must be able to stand, walk, reach with arms and hands, climb, balance, stoop, kneel, twist and bend
Specific vision abilities required by this job include close vision and the ability to adjust focus.
