Work Type: This is a Hybrid role based out of our Hubs located in Loveland, Colorado.
Job Purpose/Overview
The Education Coordinator, Sound will collaborate with the Director, Product Commercialization and Education, Sound, to perform a wide range of administrative and office support activities for the Ultrasound Education Department to facilitate the efficient operation of the organization. The Education Coordinator will also provide an exceptional customer experience for students who are attending courses at the Academy of Veterinary Imaging in Carlsbad, CA and other locations as assigned.
Essential Duties and Responsibilities
Coordinate with Director of Education to make Applications Training Assignments (CRM and email of information).
Maintain dashboard of current applications trainings pending, scheduled and completed.
Forward Key strings and relevant shipping information to appropriate Education Specialist upon receipt from GE and Sound shipping department.
Keep accurate record of applications trainings in software platforms provided (Excel, CRM, Salesforce).
Provide quotes to customers for additional days of onsite, course packages and corporate course offerings.
Correspond with the customers in regards to course registrations and course availability for Academy West, Academy East and Academy Online along with corporate groups.
Communicate with customers before, during and after courses providing information about course content, course capacity, and lodging.
Process registrations including credit card payments for courses and keep record of payments for each customer account.
Keep accurate records of students registered for each course (Cvent, CRM, Salesforce).
Answer inbound phone calls and emails in a timely fashion.
Post courses to website / Cvent, edit course templates and check courses for accuracy.
Print CE Certificates upon completion of course and upload course Roster to RACE.
Maintain RACE Course List and affiliated documentation.
Maintain office supply inventories, including ordering supplies and stocking.
Order teaching staff lunches and after hours meals.
Perform other duties as assigned.
Assist in the overall structure and direction to the Academy West Imaging staff and contractors in preparation for and during customer facing educational courses.
Communicate with customers before, during and after courses providing information about course content, course capacity, and lodging.
Work with Education Administrative Assistant to print nametags, CE certificate and submit RACE Rosters.
Maintain inventory of lab equipment and ensure correct equipment and transducers are available for course and maintain supplies for the lab and lecture area as needed.
Ensure breakroom supplies are stocked and ready prior to courses and cleaned up and stored following courses.
Facilitate and distribute course agenda to staff with times and/or needed coverage per course.
Work with the Animal Model Organizations to ensure correct number of animals are available for courses.
Facilitate and build relationships with Animal Model Organizations (i.e. foster groups, rescue organizations etc).
Coordinate staff hotel arrangements.
Stand in as needed as lab instructor and/or proctor
Other duties as assigned.
Education and Experience
Bachelor’s Degree (Education or Business) Preferred Minimum 3 years experience working in teaching laboratory environment
RDMS Preferred
Knowledge, Skills and Abilities
Intermediate to advanced knowledge in the field of ultrasound imaging
Strong teamwork capabilities including the ability to effectively work with leadership, peers and other internal and external individuals through projects to enhance the goals and strategic direction of the company.
Strong organization skills
Excellent customer service skills with a strong emphasis on the customer experience
Working knowledge of animal safety
Ability to effectively work with executive leaders, team leads, and staff.
Strong written and oral communication skills.
Proficient in MS Office Suite
Must work well independently and work in a matrix based organization with minimal direction.
Must be able to handle multiple projects and be able to adapt to changes in priority.
Occasional lifting up to 25lbs and pushing/pulling up 55lbs.
Ability to work while both sitting and standing
Travel
This role requires occasional travel, up to 20%
Pay/Benefits
The Target Pay for this position is $36.00 - $42.00 an hour. At Antech, pay decisions are determined using factors such as relevant job-related skills, experience, education, training and budget.
