Employee Services Specialist II

Work Days and Expected Hours:

Monday - Friday: 8:00 AM - 5:00 PM

(Additional hours as necessary to meet the objectives of the department)

Function:  Performs various administrative and specialized technical duties in support of the Employee Services department in relation to Recruitment, Organizational Development, Training and Development.

Duties and Responsibilities:

Maintains a breadth of Employee Services related job knowledge, including but not limited to an overview of Bank departmental knowledge, Employee Services related programs, and other special initiatives coordinated within and by the Employee Services department.

Maintains Employment Applicant Tracking System

Processes all job Opportunities for appropriate signatures/approvals.

Creates & maintains all job posting files; Opportunity Checklist.

Creates, edits and posts job openings.

Saves all incoming resumes and referral forms into appropriate files and processes accordingly.

Reviews and forwards applications to hiring managers.

Maintains job posting files from beginning to end.

Advises hiring managers on the recruitment process including:

Applicant sourcing.

Interviewing guidance and best practices.

Recruitment procedures and HR resources.

Performs various duties for the hiring of non-exempt and entry level exempt employees, includes the following:

Evaluates all employment applications and resumes.

Seeks candidates from the Applicant Tracking System.

Conducts interviews of internal and external candidates.

Prescreens non-exempt and entry level exempt applicants over through various means.

Travels to interview non-exempt and entry level exempt applicants at branches and/or offices as necessary.

Extends offers verbally to candidates.

Verbally communicates declinations to internal candidates.

Assigns teller numbers to all new hires.

Works closely with supervisors and managers on hiring of each employee.

Answers various inquiries from internal and external customers on the hiring process; job openings, status of application/resume or employment questions.

Creates and posts open positions via the ATS on the Careers Page as well as Career Link and to employment agencies and college & career sites.  Updates job descriptions for job postings.  Closes all Opportunities and updates the ATS accordingly.  Verifies all documentation within the Opportunity file at the end of closing.

Conducts background checks on applicants thru the ATS or manually when needed.

Background Investigations

Obtaining Credit Histories as applicable.

Check Systems

References on occasion.

Generates/types job offer letters and assembles new hire material.  Generates new hire package to new employee and sends new hire paperwork to supervisor, Compensation & Benefits, Training & Development and the Onboarding Administrator.

Coordinate and conducts new employee sign in process.

Assists with coordinating and conducting new to position and new to the Bank technical training and training needs assessments for all staff.  Works with the hiring manager/supervisor to schedule training and assess for future training needs within the first week of employment.

Assists with attending job fairs and gathering appropriate documents for interviews; on-line application, transcripts & resumes.   

Assists with Employee Services departmental expenses; prepares invoices for reconcilement and prompt payment, maintains regional site records and receipts of Departmental Expenses in conjunction with other ES Administrative Services Specialists.

Assists with updating training resources, produce training material for training events. Assists with the training calendar coordination, food ordering and set-up for large scale training programs when trainers require assistance.

Assists with the distribution of large mailings.

Assists with a variety of Learning Management System support needs.

Maintains a good working relationship with all bank employees.  Demonstrates the ability to work independently.  Works as a team player to contribute to the success of the department and in turn the organization.

Performs additional non-exempt duties as required.

Physical Demands

Operates a keypad device:  90% of the day; operates electronic equipment:  90% of the day; setting up rooms, organizing supplies and food:  10% of the day.  The job requires reaching above the shoulders which is slow in speed, three times a day.    Routinely lifts 30-40 lbs., lifting supplies and boxes.  Use of manual dexterity skills and specific vision requirements include close vision of 18”-20” for typing and data entry up to 60% of the business day.  Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.

Education

Requires a high school diploma or equivalent basic academic education.

Experience

Five to ten years general business experience with a minimum of two to five years specialized experience required, specifically in HR or Recruitment.
