Yes County Albany Street Address 110 State Street City Albany State NY Zip Code 12236 Duties Description Technical Supervisiono Provides training, mentoring, and technical direction to the Clerical and Scanning Unit.o Updates and maintains the training manual and materials for the Clerical and Scanning Unit. o Provides training and education to new hires.o Monitors returned work for corrections and to identify potential training issues.o Identifies areas in which employees may require additional training and education to properly perform their job duties.o Provides technical and informational direction and assistance to staff and others.o Assist staff with identifying documents for indexingProcess more complex/sensitive documentso Scan new applications for disability retirement, accidental death, and WTC Notices along with any attachments. o Ensures that the scanning of the new application opens a new case in PeopleSoft and refers the applications and mail to the examining supervising staff for assignment. These applications must be processed in a timely manner to ensure that ill members receive their benefits.o Responsible for returning original documents, including, but not limited to birth certificates, death certificates, POA’s, guardianship papers, etc.o Responsible for pre-payment of invoices by way of a state issued procurement credit card. o Responsible for processing high priority mail for management, terminally ill, etc.o Review and process deletion requests in the scanning applicationSupport OA2 staff in processing Mail and Correspondenceo The employee reviews complex confidential medical documents submitted by the member or from the member’s attorney, employer, physicians, and hospitals. o The documents are separated in preparation for scanning. Once scanned they are properly identified and indexed, using over 80 different document types, including a miscellaneous type for the more complex documents. o These records must be accurately identified to be attached to correspondence sent to Independent Medical Examiners. Communicationo Communicates effectively with internal and external customers. Effectively interprets and applies the laws, rules, regulations, and policies of the New York State and Local Retirement Systems.o Facilitates cross bureau communication to ensure cooperation with shared initiatives.o Communicate professionally and effectively with various medical offices, facilities, and attorney offices to obtain various records necessary to the prompt processing of applications.o Act as the liaison between the Finance Office and various vendors to ensure bills for medical records paid in a prompt and accurate manner. o Act as a liaison between the Disability Services Bureau and ITS Staff regarding system updates, required testing, and implementation of new products and services.
