**Job Summary**
The Office of Alumni Relations is seeking an energetic and outgoing self-starter to support the Regional and Affinity Alumni Chapters Program. This role primarily focuses on hosting and facilitating engagement events for the Alumni Chapters team and will report to the Associate Director of Alumni Chapters. The ideal candidate will be highly organized and efficient, with a strong passion for event execution that encompasses both intricate details and overarching themes. They will enjoy collaborating with volunteers both locally and globally; and must possess the ability to manage multiple events and projects simultaneously. Additionally, the candidate should have a solid understanding of the mission and vision of the Office of Alumni Relations, University Advancement, and the University of Utah.
**Responsibilities**
Plans, develops, and manages specific programs/events for the Alumni Chapters team, locally and regionally. Responsibilities include, but are not limited to:
+ Oversee general events logistics including scheduling, catering, rentals, guest lists, risk management, audiovisual needs, hospitality, and more.
+ Collaborating with the U Alumni marketing team to create engaging promotional materials aimed at increasing event attendance.
+ Managing day-of event coordination, including setup, cleanup, and addressing all on-site requirements.
+ Conducting and coordinating post-event follow-up administration and stewardship activities, including compiling and reporting participation metrics.
+ Managing event budgets by setting goals, projecting expenses, and maintaining comprehensive records.
+ Facilitating standardized assessments of programming to enhance future initiatives.
+ This role requires a flexible schedule, including early mornings, evenings, weekends, and frequent travel, depending on the timing and location of engagement events.
Under the direction of the Associate Director for Alumni Chapters, work to strengthen and oversee the daily operations of at least 25 alumni chapters by serving as the primary liaison for volunteers hosting events, supporting the recruitment and training of new volunteers, and managing chapter welcome initiatives.
Build and cultivate relationships with alumni to enhance the visibility and impact of the Office of Alumni Relations.
Collaborate with a larger team to support various Office of Alumni Relations events and engagement opportunities.
Promote and leverage the Forever Utah Network to foster remote connections and mentorship opportunities for alumni.
Assist in maintaining the integrity and accuracy of the University’s alumni database and Alumni Engagement Scoring metrics.
Consistently benchmark progress on assigned programs by reviewing the practices of peer institutions and adhering to CASE best practices.
**Minimum Qualifications**
Bachelor’s degree in Communications, Public Relations, Marketing, or a related field, or equivalency (one year of education can be substituted for two years of related work experience); and demonstrated human relations and effective communication skills required. Experience which includes fundraising, grant and publication writing, planning and implementing special events and programs and a successful track record in raising donations is preferred.
**Preferences**
This position requires regular travel as well as time outside of regular office hours.
Nights, weekends, and other times are required as needed.
