GENERAL SUMMARY & SCOPE The Engineering & Facilities Planning Purchaser is responsible for the overall financial purchases, Maintenance, Repair, & Operations (MRO) planning, asset management, work planning, physical machine part inventory, and spare part inventory using maintenance CMMS software. This position is also responsible for maintaining parts/asset data accuracy and equipment hierarchy in the maintenance software. This will include, rolling out standard workflows for work requests, preventive maintenance program, project requests, and inspection, etc. The role requires daily collaboration with multiple departments within the Ulta Beauty supply chain. PRINCIPAL DUTIES & RESPONSIBILITIES (*Essential Functions) The Engineering & Facilities Planning Purchaser is a champion of Ulta Beauty’s mission, vision, and values, and should demonstrate them skillfully and consistently by performing the following duties and responsibilities of the position (as well as all other projects/duties as assigned): Performance Generate and manage purchase orders and P&L responsibilities for all engineering and maintenance, including parts, materials, MRO, and supplies. Collaborate with suppliers and vendors for request for quotes (RFQ), proposals, invoicing, Original Equipment Manufacturer (OEM) documentation, and pricing. Develop and maintain financial procurement spread sheets and tracking systems. Respond to and manage vendors / suppliers for warranties, invoicing, quoting, accounts payable, and procurement actions. Support all administrative asset reliability tasks, responsibilities, and actions for generating maintenance schedules, preventative maintenance job planning, and operational coordination for asset availability. Perform spare parts inventory management and auditing, cycle counts, and parts reconciliations on a regular basis and publish weekly spare part cycle count results to the maintenance management team. Provide software trainings to end users and new maintenance software users. Serve as liaison for problem solving and escalation. Work with corporate Business Analyst to roll out standard object coding scheme, preventive maintenance procedures and scheduling, and reports. Manage work orders in the system, including ensuring proper job creation, planning, updates, and closure of work orders. Performs regular data analysis on parts/assets and recommend software enhancements and process changes. Measures and publish facilities KPI metrics to the management team; interpret data from trending and tracking with recommended findings with reporting data. Demonstrate business acumen with understanding of business drivers and identified opportunities for growth. Take the initiative to stay informed regarding new and existing industry trends, products, and services during work time, and be knowledgeable about the benefits of these trends, products, and services to better serve guests. Maintain prompt, regular attendance. People Demonstrate high standards of guest service in everyday assigned duties. Communicate with leadership on any escalated issues or needs to maintain normal operations. Develop a partnership with the Engineering & Facilities team members and leadership to ensure the department’s ability to meet performance standards and goals. Establish professional peer and brand partner relationships that foster a shared interest in collaboratively delivering exceptional guest service. Attend mandatory trainings and meetings to enable continuous professional development. Coach and educate associates on the maintenance software functions and best practices for performing tasks. Process Be knowledgeable of and ensure compliance with Ulta Beauty policies, procedures, and standards. Follow all safety, sanitation, and infection control procedures; always ensure compliance with state board guidelines. Maintain cleanliness of work areas. Adhere to the Ulta Beauty dress code. Protect company assets by following loss prevention best practices and providing exceptional guest service. Execute other operational tasks as directed. JOB QUALIFICATIONS Education High School Diploma or GED. Experience 3-5 years of experience in administration of vendor relationships and management of P&L or purchasing/planner role required. 3-5 years of experience in an industrial or distribution environment required. Skills Experience (or professional training) in Business Administration, Information System, Engineering, maintenance, or related fields. Experience working with enterprise software and an understanding of standard work process. Proficient in communicating in a professional manner to multiple levels of leadership and peer associates. Experience using Microsoft Word, Excel, and Power Point, etc. Customer service and project management experience. Experience planning, scheduling, and auditing overall facilities/maintenance activities. Proficient with Microsoft Projects software. Proficient in English language. SPECIAL POSITION REQUIREMENTS Work a flexible schedule as needed to include days, evenings, weekends, and holidays WORKING CONDITIONS Frequent stooping, kneeling, bending, reaching, twisting, and crouching during shift The ability to lift up to 35 pounds consistently The ability to lift, bend, stand and walk 8-10 hours a day The ability to lift up to 50 pounds occasionally The pay range for this position is $26.00 - $26.00 / Hour. Exact pay will be based on factors including, but not limited to relevant education, qualifications, certifications, experience, level, shift, geographic location, and business and organizational needs.
