Enrollment Services Specialist, Enrollment Services (Financial Aid Advisor)

This position supports the effective management of financial aid and student financial services processes for all four UTMB schools.

Minimum Qualifications: 

Associate’s degree or Equivalent Experience. 


Job Description:

To provide professional enrollment services to alumni and students.  This will be achieved through the efficient use of administrative, advisory, and technical skills, and team leadership.  Provides admissions information, determines residency for tuition purposes, and supplies financial aid information to applicants and students.  Exercises independent judgment and critical decision making while following all rules and regulations.  Responsible for the effective processing of admissions, registration, financial aid, and records in the five UTMB Schools.

Job Duties:

Interacts with prospective students and applicants to provide information and responds to questions regarding admissions procedures, residency for tuition purposes and financial aid information in a professional manner. Participates as a member of the team utilizing data to improve the efficiency and effectiveness of the delivery of customer service to the schools and support the delivery of service to the students. Effectively communicates, verbally and in writing, with students, alumni, applicants and other departments on campus and outside entities.  Ability to distinguish issues and situations that require leaderships review for decision making. Proactively resolves customer issues and makes recommendations or takes action to meet the customer needs displaying an understanding of the issues and impact, and being willing to go beyond the request. Knowledgeable of policies and procedures, regarding state, federal and institutional requirements. Ability to articulate these to the customers in a clear and concise manner.  Provides advice and guidance on Enrollment Services related issues within established policies and procedures. Acts as subject matter expert for staff in the daily processing of admissions, registration, financial aid and records processing. Effectively communicates with other departments on campus or outside entities to resolve student and alumni issues.  Reviews documents and determines residency, TASP compliance, TOEFL liability, financial aid eligibility, etc. within pre-determined guidelines.  Processes complex admission, registration, record, and financial aid records changes. Processes non-standard records and academic status changes either by data entry or by enabling batch jobs, and completing the initial validation of output from the batch processes. Identify and refer irregularities that need to be referred to leadership. Provides support to the schools for commencement activities, including reports, diplomas, etc. 

Technical Support Responsibilities 

Produces reports utilizing PeopleSoft Campus Solutions and Oracle Business Intelligence reporting in support of members of Enrollment Services and other UTMB users.   Monitors, updates and maintains information for the Enrollment Services website.   Trains users in Campus Solutions and responds to users questions regarding the systems. Collaborates with technical support teams and colleagues to resolve system issues and implement new functionality. Adheres to internal controls and reporting structure.   Performs related duties as required.

Additional Duties:

Provide direction and leadership in the daily face-to-face financial aid processes for all schools to ensure quality student service. Works with Enrollment Services records and admissions department to ensure student records are accurate. Responsible for adding and updating student financial aid awards. Primary contact person for phone call and email communication for the financial aid department for all schools. Reports status of processes and progress of goals and targets to the Assistant Director and Director of Financial Aid. Refers issues and items that are above their purview to the Assistant Director and Director, along with any items that do not fall within the standard boundaries of their decision-making authority. Responsible for the exit communication process for all graduating students. Manages and updates their accounts and holds. This position manages all persons added to the TINS system, updates and adds all private educational loans. This position manages communication with students and departments participating in the Federal Work Study program, determines student eligibility, acts as liaison for UTMB departments during the hiring process, add/updates student FWS awards and monitors student FWS allocations and add/update as needed. Participates in group decision-making and evaluation processes. Adheres to internal controls and reporting structure. Performs related duties as assigned and acts as back-up for Assistant Director and Director of financial aid as needed.
