To support our extraordinary team who build great products and contribute to our growth, we’re looking to add a/an Enterprise Communications Coordinator located in Austin, TX.
Reporting to the VP, Integrated Marketing and Communications the Enterprise Communications Coordinator role will be responsible for coordinating a variety of communications projects and overseeing department operations, including budget tracking, invoice processing, and vendor contracts. Additionally, you will assist with administrative duties for the organization and help with planning and logistics for both virtual and live events. Given the global nature of our organization, flexibility in work hours is required to accommodate activities and team engagements across different time zones.

Administrative operations are vital for successful collaboration with the function’s executive and broader organization. This is where your organizational and prioritization skills can really shine. You will:
Manage day-to-day schedules to optimize the team’s time, ensuring they are prepared for all meetings and prioritiesCoordinate internal and external meetings and related logistics, including but not limited to team, extended staff, all-hands, off-site meetings, one-on-ones, etc.Book domestic and international travel in alignment with the company's travel policy, considering travel Visas, costs, and proper documentation for the organization’s team leadersEnsure the timely submission of expenses and review/provide feedback on expense reports submitted by the executive's direct reportsCommunications operations will be involved with driving organizational strategy by managing an array of projects, and collaborating with multiple stakeholders. You will: Collaborate and execute on special projects and serve as the key point of contact to verify departmental goals, related milestones, and initiatives are aligned with the annual business cycle. Project manage initiatives and associated deliverables according to defined deadlines.These could include, but are not limited to:
Quarterly communications metrics Quarterly business review preparationClickUp tool reporting set up and day-to-day support, as neededContribute to leadership meetings by taking notes and tracking action itemsConduct research, compile, and draft statistical reports and presentationsUnderstand and adapt to dynamic business processes and data-driven insights gleaned from performance metricsHandle budgets, bill paying and monitoring, ordering and maintaining supplies/equipmentCommunication and People – as a liaison for the executive, you will:
Act as a gatekeeper for all inquiries (customers, employees, ELT, visitors, etc.), triage requests, and coordinate communication and actions as necessaryEffectively interface with employees from other internal business groups and senior executives inside and outside the company and understand key players within all organizationsMaintain a "pulse of the business", having a sense for the issues taking place in the organizationPartner with the enterprise communications team to implement strategies and develop materials that support key initiatives and convey pertinent details to all stakeholdersHelp onboard new employees and train new team membersThe experience we’re looking to add to our team:
Minimum of 5+ years of applicable experience in administrative roles supporting executives or communications coordination, ideally at a fast-paced technology companySkillful execution of administrative activities with discretion, great attention to detail and follow through, and organizationEffective verbal and written communication skills to ensure communications are clear, succinct, and thoroughAbility to build strong relationships with senior leaders and external stakeholders Intermediate project management skills and experience with productivity tools and applications, and calendaring Proven ability to prioritize tasks, communicate effectively, and deliver high-quality work to consistently meet deadlinesExperience with budget management and event planning/managementBachelor's degree or equivalent relevant experienceAdditional Desired Skills/Traits:
