QUALIFICATIONS

EDUCATION:

Bachelor’s degree in nursing or relevant field required.

EXPERIENCE:

Minimum of two years of experience in a management position within a related field required.

LICENSURE / CERTIFICATION

Medical Assistant Certificate preferred. BLS Certification required. CPHC (Certified Professional in Healthcare Quality) certification preferred.

 

PRIMARY FUNCTION

Oversees back-office operations Enterprise wide, with a focus on Vaccine Management and Medical Assistance workflows. This position plays a vital role in emergency preparedness, back-office compliance, policy development and overall clinical efficiency. The manager will lead a team of regional coordinators, collaborate with internal departments within the enterprise, and drive continuous process improvement to maintain a high standard of patient care while adhering to healthcare regulations and standards.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Collaborates with Directors to define and create an action plan for implementation of back-office processes including but not limited to vaccine management, vaccine and medication administration, vital signs, progress note documentation, standing orders, MA Procedures, and equipment usage to ensure compliance and safety. Develops and implements emergency response plans related to vaccine storage and medication administration to ensure readiness for unexpected situations. Provides training and educational materials to learning and development team on best practices related to back-office processes. Stays updated on relevant regulations and best practices, ensuring that clinical operations comply with the latest guidelines and requirements. Collaborates with Director to stay informed about vaccine updates, recalls and recommendations​ and implement necessary changes to ensure patient safety and compliance. Supervise a team of regional coordinators, providing leadership, guidance, and support in their roles within the Clinical Services Department. Directs and implements new operational procedures, action plans and quality initiatives to obtain optimum efficiency. Participate in continuous process improvement. Develops policies and procedures within department scope aiming to standardize protocols across the enterprise. Collaborates with clinical teams, healthcare providers, and other regional coordinators to facilitate seamless operations and maintain a high standard of patient care. Collaborates with integrations team and other internal departments for transition of newly acquired practices to efficient back-office processes. Effectively communicates issues and collaborates with Practice Managers, Team Leads, Regional Practice Administrators and other departmental leads regarding resolutions. Ensures strict adherence to all healthcare regulations, standards, and privacy guidelines, maintaining the confidentiality and security of patient information. Actively participates in team hiring, coaching, appraising, rewarding, and retaining department staff; assessing staff productivity; employee development, onboarding, training, and development for newly hired staff.

SUPERVISORY RESPONSIBILITIES

Directly supervises regional clinical services coordinators to include evaluating and completing annual evaluations. Instructs team in methods or procedures needed to carry out their job as well as makes work assignments. Develops and executes on-site implementation of new processes across the enterprise. Responsible for overseeing staffing for all regions to include hiring, training, and coaching.

 

KNOWLEDGE, SKILLS, AND ABILITIES

In-depth knowledge of healthcare regulations, standards and best practices. Exceptional leadership and team management skills. Strong organizational and project management abilities. Strong skills in operating a computer, using EMR and Microsoft applications. Effective communication and interpersonal skills.

TYPICAL WORKING CONDITIONS

Non-patient facing. Full-time remote/telework with some in-person meetings required. Travel to various locations across the country required. If remote, this job must be U.S. based.
