Description
Coordinates field-placement operations, manages certification processes, and serves as point of contact for the Registrar’s office, assessment data and reporting related to field placements, and services contracts and compensation. Interacts with a number of constituencies, including students, faculty, University administrators, school district personnel, alumni, agencies, and the New York State Education Department (NYSED). This position has both clerical and coordination functions.
Examples of Duties
+ Coordination of field-placement operations, including student support, communication with various constituencies (i.e., University personnel, school districts, the New York State Education Department), paperwork and documentation, and scheduling.
+ Management of the certification process (i.e., transcript review, certification eligibility, recommendation for certification through the TEACH system, student support through the certification process) and related databases.
+ Point of contact for program and student assessment data and reporting related to field placements, field services contracts and compensation, and the Registrar’s office.
+ Interact with a number of constituencies, including students, faculty, University administrators, school district personnel, alumni, agencies, and the New York State Education Department (NYSED).
+ Become proficient and remain current in the use of technologies specifically required for data collection, reporting, analysis, and distribution, such as Microsoft Office Suite, the TEACH system, and Taskstream.
+ Receive, research and appropriately respond to inquiries and/or complaints regarding placement, certification, or other related issues.
+ Perform data collection, compilation, and analysis; create, review, produce reports;
+ Maintain various databases and/or spreadsheets.
+ Design and/or execute an effective system of internal controls to ensure the security of data, record retention and the overall efficiency of the office.
Supplemental Functions:
+ Compose, edit and process office correspondence, reports and other documentation for completeness and conformance with established regulations and procedures.
+ Answer telephone calls; screen and direct calls; greet visitors and direct to appropriate personnel.
Typical Qualifications
High School diploma or Associates degree required. Bachelor’s degree preferred.
At least five years of administrative support experience in an executive office or comparable setting.

+ Ability to balance multiple priorities and demands, frequent interruptions, and time-sensitive tasks and paperwork.
+ Must be able to manage the workload effectively and also remain professional and interpersonally balanced when interacting and communicating with others.
+ Ability to handle, maintain, and secure highly confidential material.
+ Ability to engage in long range and short range planning.
+ Ability to show initiative and self-direction
+ Ability to maintain a sense of humor
+ Knowledge of school personnel, school districts, and NYSED policies, procedures, and processes, particularly certification regulations and processes
+ Knowledge of University database systems and the TEACH system
+ Skilled in working in a higher education institution and with a diverse range of constituencies
+ Notary public or willingness to acquire notary public commission
+ Skilled in achieving customer satisfaction.
+ Ability to effectively interpret and explain detailed accounting reports and able to express ideas effectively in oral and written form.
+ Ability to type, compose and edit correspondence, memos, letters, and reports; revise schedules, forms, reports, records, and other information; research statistical information for use in reports.
+ Solid knowledge of Microsoft Office software and other job specific software as well as the ability to stay current with emerging office technologies.
+ Skilled in writing and developing written reports and action plans.
+ Ability to timely and accurately communicate with administration, faculty, students reporting bodies, educational partners, and community members.
+ Ability to type, compose and edit correspondence, memos, letters, agendas and reports; revise schedules, forms, reports, records, and other information; prepare statistical information for use in reports.
