Classification Description Summary
Under general supervision, procures, receives, issues, and maintains an accurate inventory of equipment, supplies, and materials for assigned department; researches, locates, and orders equipment and supplies; purchases specialized items not in inventory; researches and processes purchase requisitions and purchase orders; obtains bid quotations; maintains a computer based inventory system; and maintains a variety of records and files.
Essential Functions
+ Procure, receive, issue, and maintain an accurate inventory of equipment, supplies, and materials for assigned department; verify and inspect incoming shipments for appropriate quantity and quality; sign for items as necessary.
+ Research, locate, and order supplies and equipment; interview vendors to obtain information concerning new products, service availability, prices, and delivery procedures.
+ Obtain price quotes, process orders, schedule deliveries, and reconcile purchase orders in procuring a wide variety of equipment, supplies, and materials; obtain bid quotations as necessary.
+ Obtain and fill staff request; deliver equipment, supplies, and materials as appropriate; answer questions regarding product information, handling and disposal, and ordering procedures.
+ Maintain detailed vendor files and records of supply transactions; prepare various reports relating to equipment issued, receipts, purchase orders, and billing information.
+ Assist department in determining economical sources of equipment, supplies, and materials; meet with staff to discuss purchasing needs and issues for assigned projects; place order for stock and special items.
+ Inspect personal protective equipment and send out for cleaning and repairs as necessary; take measurements and order new gear as necessary.
+ Provide support to emergency personnel at emergency scenes including purchasing meals and supply equipment for apparatus, and issuing or replacing damaged personal protective equipment.
+ Conduct a periodic inventory of stock items; maintain proper stock levels; arrange for disposal of department equipment in accordance with City and department procedures; maintain appropriate procedures concerning the redistribution, consumption, and disposal of obsolete items.
+ Participate in overseeing the inventory database for assigned area; input all issues into inventory control module; develop and update work methods to improve receiving, storing, and distributing equipment, supplies, and materials.
+ Perform a variety of clerical activities including preparing purchase requisitions and correspondence and reports; assist with the creation and modification of department forms; answer the phone and route calls as appropriate; maintain a variety of records and files related to area of assignment.
+ Monitor purchase order expenditures to ensure that the City’s guidelines are in accordance with approved policies and procedures.
+ Maintain the warehouse in a clean and orderly manner.
+ Perform related duties as required.
Minimum Qualifications
Education and Experience:
Graduation from high school diploma or equivalent. Two years of experience in warehousing and inventory control and purchasing experience.
Required Licenses or Certifications:
+ Must possess a valid driver’s license.

+ Identify problems, project consequences of proposed actions, and recommend effective solutions and take appropriate action.
+ Plan and organize work to meet schedules and timelines.
+ Review expenses for patterns and trends, bring to the attention of management staff, and recommend possible alternatives.
+ Research, identify, develop, and recommend methods of purchasing, stocking, reordering, and delivering supplies, equipment, and materials with the objectives of operational cost reduction and service and efficiency improvements.
+ Plan, organize, and implement strategic inventory initiatives which optimize stock levels and delivery of essential goods for the department.
+ Use initiative and independent judgment in assigned duties.
+ Operate a variety of warehouse equipment including forklifts.
+ Operate office equipment including computers and supporting word processing, spreadsheet, and database applications.
+ Maintain accurate records and prepare reports.
+ Perform simple arithmetic computations.
+ Respond to requests and inquiries from City personnel.
+ Work independently in the absence of supervision.
+ Understand and follow oral and written instructions.
+ Work in a team based environment to achieve common goals.
Other Requirements
Physical Demands and Working Environment:
Work involves indoor and outdoor environment; travel from site to site; exposure to noise, grease, smoke, fumes, gases and inclement weather conditions; work at heights on scaffolding and ladders; work and/or walk on various types of surfaces including slippery or uneven surfaces; works near moving mechanical parts; incumbents may be required to respond to emergency calls after hours including evenings and weekends.
Physical demands require sufficient physical ability and mobility to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull moderate to heavy amounts of weight; to operate assigned equipment and vehicles; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; and to verbally communicate to exchange information.
