Job Summary
The Event Marketing Coordinator will work closely with the Event Marketing leadership and members of the Events team to support the development and production of events as well as rental events and commercial filming projects (hotel specific). Oversees various projects or accounts. Works with internal or external clients and others to identify project teams assign individual responsibilities identify appropriate resources needed and develop schedules to ensure meeting deadlines of projects and timely completion of projects. Must be familiar with project scope and objectives as well as the role and function of each team member to effectively coordinate the activities of the team. Communicates results and status of the project frequently. Ensures adherence to project management processes and documentation standards.
Responsibilities
QUALIFICATIONS:
+ One to three years of experience in a similar role
+ Exceptional written and verbal communication skills
+ Organizational capabilities to support multiple projects and managers simultaneously
+ Ability to problem solve and work independently in a changing and multi-tasking environment with numerous deadlines
+ Excellent organizational planning and project management skills
+ Ability to develop professional relationships in all aspects of the position that result in stable consistent reliable and courteous communication
+ Demonstrated ability for accuracy and thoroughness
+ High levels and respect for other company functions and the ability to work well with them as a team
+ Ability to work occasional nights weekends and holidays
+ Strong computer skills especially Microsoft Office (Word Outlook Excel)
+ Knowledge of project development including process mapping budgeting and timeline creation.
+ Demonstrated ability to coordinate cross-functional work teams toward project completion.
+ Demonstrated effective leadership and analytical skills.
+ Advanced written and oral communication skills are a must.
+ General PC knowledge including Microsoft Office.
+ Certification in project management helpful.
JOB RESPONSIBILITIES:
+ Administrative duties including managing incoming phone and e-mail inquiries scheduling meetings and development and distribution of appropriate materials (agendas etc)
+ Sourcing vendors and managing competitive bid/RFP process
+ Serving as a liaison between rental clients vendors contractors and event/hotel staff
+ Creating training materials for event/hotel staff
+ Overseeing the implementation of rental event contracts
+ Representing the hotel at various meetings and events
+ Coordinating logistics of day-of-event production (load-in strike etc)
+ Arranging and coordinating security and/or special needs for events
+ Assisting with corporate partnership and sponsorship development/fulfillment
+ Researching and sourcing new event opportunities
+ Community relations and outreach
+ Other duties as assigned by Management
+ Works with clients and management to define project scope and objectives including developing preliminary project plan and design and determining necessary resources and project timeline.
+ Obtains commitment from team partners to project timelines and acts as a resource for project team members.
+ Assigns duties responsibilities and spans of authority to project personnel.
+ Leads meetings with cross-functional project team to assess status and resolve and escalate issues as they come up.
+ Reviews and tracks status of project and deliverables and provides project updates and ongoing analysis to parties involved.
