MITRE is seeking a dynamic and detail-oriented Event Coordinator to join our high-performing team of Event Strategists. In this critical supporting role, the Event Coordinator will leverage foundational knowledge in events, logistics, communications, and project management to assist in the planning, organization, and execution of a diverse array of internal and external events. We are looking for a proactive individual who is eager to develop their skills and collaborate with seasoned planners. The ideal candidate will possess a demonstrated passion for events and tradeshows, along with exceptional communication skills, and a commitment to delivering outstanding event experiences.

Roles & Responsibilities:

Assist team members in pre-event planning by scheduling, coordinating with vendors, and creating comprehensive event materials such as timelines, checklists, and event resumes.

Coordinate and manage the procurement, organization, and shipment of event supplies.

Oversee event registrations, maintain accurate attendee lists and RSVP statuses, produce badges, and manage all attendee communications.

Collaborate with internal support teams, including A/V, catering, and security, to confirm and manage all event details.

Provide hands-on support during events, ensuring seamless set-up, execution, and teardown.

Maintain thorough event documentation, including contracts, invoices, budgets, event assets, and post-event reports.

Design and create engaging event landing pages to enhance attendee experience.

Manage and support departmental projects as needed, demonstrating flexibility and initiative.

Basic Qualifications:

Typically requires a Bachelor’s degree in Communications, Marketing, Event Management, or similar and a minimum of 2 years of related experience; or an advanced degree with relevant experience who can immediately contribute at this job step; or equivalent combination of related education and work experience.

A minimum of one year of experience in event coordination, including tradeshows, administrative support, or a related role.

Strong organizational skills with the ability to effectively manage multiple tasks, deadlines, and details simultaneously.

Proficiency in the Microsoft Office Suite and familiarity with event management tools such as Stova and Cvent.

Ability to work both independently and collaboratively in a fast-paced environment, demonstrating initiative and teamwork.

Willingness and ability to provide occasional off-site support for event management as directed by the supervisor.

This position requires a minimum of 4 days a week on-site

Preferred Qualifications:

Proficiency in utilizing advanced Video Teleconferencing (VTC) technologies and meeting platforms, specifically Microsoft Teams and Zoom.

Demonstrated positive, proactive attitude with a strong focus on teamwork and collaboration.

Exceptional interpersonal, written, and verbal communication skills, with the ability to engage effectively with diverse audiences.

Proven ability to swiftly identify and resolve issues in real-time through adaptability and resourcefulness.

Strong capability to conceptualize, design, and implement creative and innovative event experiences.

Extensive experience in managing vendor relationships for procurement, shipping, and event services, ensuring seamless coordination and execution.
