The Event Coordinator is a key team member within our non-profit healthcare organization, responsible for planning, organizing, and executing events that align with our mission to improve community health. The ideal candidate will have strong organizational, communication, and project management skills, as well as a passion for making a positive impact in the lives of others. The Event Coordinator will work closely with internal teams, volunteers, sponsors, and community partners to deliver meaningful and well-executed events that promote awareness, engagement, and fundraising efforts.
Key Responsibilities:
+ Plan and execute a variety of events, including fundraising galas, community health fairs, donor engagement events, and internal staff appreciation activities.
+ Coordinate all event logistics, including venue selection, vendor management, catering, transportation, and equipment setup.
+ Develop and maintain detailed event timelines and checklists to ensure smooth execution and adherence to deadlines.
+ Create and manage event budgets, ensuring cost-effectiveness and alignment with organizational goals.
+ Negotiate contracts and agreements with vendors, venues, and suppliers to maximize resources and maintain fiscal responsibility.
+ Provide post-event financial reconciliations and analyses.
+ Collaborate with internal teams, including development, marketing, and community outreach, to define event goals and needs.
+ Recruit and manage event volunteers; provide training and oversight to ensure roles are clearly defined and executed effectively.
+ Act as the primary point of contact for sponsors, partners, and donors during events
+ Work in partnership with the marketing team to develop promotional strategies, including digital media campaigns, email invitations, and printed materials.
+ Foster relationships with community leaders and media outlets to promote the organization’s events and initiatives.
+ Handle event communications, including RSVPs, attendee outreach, and follow-up acknowledgments (e.g., thank-you emails or donor recognition).
+ Conduct post-event evaluations to measure success and identify areas of improvement.
Requirements
Qualifications:
+ Education and Experience:
+ Bachelor's degree in Event Management, Communications, Marketing, Non-Profit Management, or a related field preferred.
+ 2+ years of event planning experience, preferably within the non-profit, healthcare, or community outreach sector.
+ Exceptional organizational and project management skills, with the ability to handle multiple events and deadlines simultaneously.
+ Excellent interpersonal and communication skills; adept at engaging with diverse audiences, including donors, community partners, and volunteers.
+ Strong negotiation skills and attention to detail.
+ Proficiency with event management tools and software, such as Microsoft Office Suite, Eventbrite, or other similar platforms.
+ Passion for or experience working in non-profit healthcare or community wellness.
+ Familiarity with fundraising strategies and donor engagement preferred.
