Description of Work Unit
The College of Agricultural Sciences ( CAS ) is an integral part of the Colorado State University land-grant system. The CAS Dean’s Office is responsible for oversight in fulfilling the land-grant mission in agricultural sciences through teaching, research, community and economic outreach and engagement, in service to and in cooperation with Extension ( CSUE ) and the Agricultural Experiment Station ( AES ). The CAS Dean’s office serves the college through executive level leadership determined by strategic plan, and oversight of the college’s initiatives in research, academic programs including programmatic curriculum oversight, student affairs including diversity and retention, student success and next destination placement, and student recruiting and outreach. The CAS Dean’s office provides central coordination of the college’s internal and external communication efforts, branding, marketing, and publication of materials for promotion. The CAS Dean’s office includes development and large gift cultivation and donor and alumni engagement, as well as information technology and networking services for the entire college. Position Summary
The Event Coordinator provides strategic planning and oversight for key internal and external events. To support the success of the events, the Event Coordinator works collaboratively with leaders across the College, as well as external to the College, to understand the goals and key outcomes for each event. The Coordinator works within the Dean’s Office, and partners with team members in Development, Communications, and the Student Success Team, to understand the overall strategy, planned promotions, and timing of messages to various constituents to include in event plans. Travel, weekend, and evening work will be required in support of some events.

Required Job Qualifications
+ Bachelor’s degree in business, hospitality, communication, or related field; OR completed bachelor’s degree in any field with a minimum of 2 years of professional experience in hospitality, event/meeting planning, or closely related experience.
+ Demonstrated communication, organization and complex problem-solving skills.
+ Demonstrated computer skills specifically in Microsoft Office Suite.
+ Ability to work with diverse audiences and stakeholders while upholding the CSU Principles of Community. (https://inclusiveexcellence.colostate.edu/about/principles-of-community)
+ Must have a valid driver’s license or the ability to obtain a driver’s license or access to a licensed driver by the employment start date.

Preferred Job Qualifications
+ Professional conference and/or event management experience in a higher education setting.
+ Knowledge of and experience working with basic regulations, guidelines, policies, other parameters, and objectives with proven ability to meet deadlines and remain on budget.
+ Experience in conference and/or event sales and marketing, the hospitality industry, including contract negotiations.
+ Demonstrated experience in providing exceptional customer service to internal and external stakeholders.

This position will work closely with internal and external partners to ensure event goals are aligned, roles and responsibilities are defined, and outcomes support the broader college, University, and System mission.
+ Manage and maintain yearly event calendar. Ensure that appropriate calendars and communication resources are up to date.
+ Create and maintain event plans/playbooks for signature events including event goals, timelines, logistics, resources needed, budget, and other details.
+ Provide event planning and logistical support for key events including pre-, during, and post-event efforts such as creating an overall event plan, scheduling meetings, coordinating staff training and coverage, preparations and packing lists, drafting/coordinating promotions and communications, event execution, and evaluation/data tracking.
+ Serve as lead CAS planning member of signature events including National Western Stock Show, Colorado State Fair, Ag Day, VIP campus tours and experiences, and others as identified.
+ Consult with college partners to help with planning conferences and other events.
+ Develop event budgets including vendor estimates and past event expense reports. Track and submit expenses and provide budget reports after events.
+ Identify branding materials needed for events and order materials ensuring on-time delivery.
+ Comply with University event process and approvals, including all related event guidelines and policies.
+ Partner across Communications, Department, and Development teams as necessary to ensure event details and promotions are shared with audiences (internal and external) in a timely manner.

+ Partner with Ag Communications team to ensure information is shared with internal and external event audiences in a timely manner. Update constituents on events, including providing intranet site content. Provide regular updates to event co-leads.
+ In partnership with event co-leads and Ag Communications team, identify print and branding materials needed in support of events, deadlines for printing, quantities, and method of delivery to the event (for example, flyers, posters, banners). Coordinate materials to be used (banners, displays, screens, for example) and ensure materials are ordered and delivered on time.

+ Identify potential “giveaways” and promotional materials needed for events. Coordinate with CSU campus partners and Ag Communications team for branding. Oversee planning, ordering, and organizing all items.

+ Identify, innovate, and manage branded items, in collaboration with Ag Communications team, to support internal, statewide, and national branding efforts.
+ Coordinate additional promotional material requests from CAS constituents as necessary.
