Event Manager

The Event Manager shall serve The Navigators and fulfill the responsibilities listed below in the spirit of The Navigators calling, values and purpose: To advance the Gospel of Jesus and His kingdom into the nations through spiritual generations of laborers living and discipling among the lost.

The Event Manager supports the Director of Special Events and Projects with managing and coordinating events for The Navigators Missions. This position is responsible for a variety of tasks that will include creative, technical, and logistical elements for events in The Navigators

ESSENTIAL FUNCTIONS

Event Coordination: 70%

Treat people with respect, courtesy, and humility.Provide a high level of customer service including responding in a friendly, timely manner, using professional communication and problem resolution skills.Ensure that all aspects of events follow their goals, objectives, and desired outcomesConsult with individuals to develop and monitor timelines and deadlines, and budget related to all aspects of events, ensuring the information is communicated with staff, volunteers, contractors and other constituents.Manage events and act as venue liaison: Coordinate logistical details of events including but not limited to catering, management of room block, tax exemption, meeting space, audio/visual production, banquet event orders (BEOs), registration process, communication and marketing, surveys and transportation.Provide support for executing event sponsor exhibits onsite, including but not limited to, logistics, oversight of sponsor load in, setup, teardown and load out.Provide leadership, professional expertise, ideas and constructive feedback to Navigator staff who coordinate mission or network national eventsConsult with designated conference directors regarding smaller events, venue selection, and contracting.Create and update event master schedule that include detailed scheduling, meal counts, meeting location for each session, speakers, meal choice, and any other pertinent information to the eventAs needed, communicate with speakers regarding their needs related to their involvement with the event (e.g., audio/visual, travel, reimbursement, handouts, bios, etc.)Be available to attend events and provide on-site support.

Assist Director of Special Events and Projects: 25%

Research, evaluate, recommend and assist in arranging services with venues, vendors, production, transportation, design, printing, etc., for local, national and international events.Create and submit Request For Proposals (RFPs) to gather venue bids for events.Negotiate contracts, ensure contract modifications are made and contract is reviewed by Corporate Affairs and Risk Management (CARM), and is ready to be signed based on the appropriate signing matrix guideline.Uphold legal requirements, to include but not limited to, contracts, releases of liability, insurance, and other policies established by CARM.Participate in site visits as needed.Maintain up to date project management tools and templates, including but not limited to, event job descriptions, program and operations planning timelines.

Additional Responsibilities – 5%

Pursue intimacy with Jesus in all things for the glory of God.Participate in Navigators’ on-site learning and development events, Cultural Development and Diversity trainings, or other non-Navigator developmental events as appropriate.Participate in annual processes, such as the organizational Plan and Progress Review (PPR), Engagement Survey, Reaffirmation of the Navigators Code of Conduct, Calling-Core Values-Vision, Statement of Faith, Driver’s Authorization, and other releases as required.Review and submit expenses and invoices for payment in a timely manner.Submit time worked on a weekly basis through the Workday Time Tracking system.Other job-related duties as assigned.

MINIMUM AND PREFERRED QUALIFICATIONS

Spiritual: Belief in and adherence to the Statement of Faith and Mission of The Navigators.

Experience:  At least three years of experience in conference planning or special events.  

Technical Knowledge & Skills: Microsoft Office and Google Suite proficiency. Strong project management skills.

Communication & Leadership: Excellent interpersonal and communication skills including verbal & written, to create understanding and build strong working relationships required.

Education: HS Diploma or GED equivalent required. Bachelor’s degree or college coursework / equivalent experience preferred/required.

Compensation Range:53,000-80,000/year
