Event Manager - Peoria Civic Center

Position: Event Manager

Department: Operations

Reports to: Manager of Show Services

FLSA Status: Full-time, Salary, Exempt

Summary:

The Event Manager plans and coordinates staff activities in preparation for facility events, including communication with clients and PCC staff to ensure event operational requirements are met.  

Essential Duties and Responsibilities:

Communicate with clients to gather information and organize facility preparation for the event.Inform facility departments of client needs for the event and to ensure availability and feasibility of providing requested services.Coordinate labor needs and timeline requirements to all involved departments.Prepare written specifications for event-related tasks, including seating, staging, décor, etc. to ensure compliance with client requirements for the event.Guide clients in preparation of events by interpreting and explaining contract provisions, policies, and procedures.Maintain regular communication with clients to confirm event parameters, including any changes.Facilitate communication between clients, caterers, and Food & Beverage management..Develop parking, patron traffic flow, crowd control plans in cooperation with facility and event security managers.Prepare written post-event evaluation of activities and correction of errors.Serve as the Manager on Duty for the duration of the event.Ensure client and facility staff comply with local safety regulations during event load-in/setup, the event itself, and post-event teardown and cleanup.   Other duties as assigned  

Supervisory Responsibilities:

This position supervises facility staff during the event in conjunction with department leadership.

Minimum Qualifications:

Working knowledge of the principles of event management.Excellent organizational, planning, communication, and interpersonal skills.Ability to meet strict deadlines for billing and event execution.Ability to work a varied schedule according to the needs of the business. Events may be scheduled evenings, weekends, and holidays.

Education and / or Experience:

Previous event management experience required.Bachelor’s degree in business, hospitality, or communications preferred.

Skill and Abilities:

Professional communication skills, both verbal and written, required.

Computer Skills:

Proficiency with email applications (Outlook) requiredProficiency with MS Office (Word, Excel, PowerPoint) preferred.Experience with CAD software preferred.

Other Qualifications:

Must have reliable transportation.Ability to work with limited supervision and to professionally interact with all levels of staff.

The position requires working extended and/or irregular hours including nights, weekends and holidays. This position has some exposure to adverse conditions.  Position requires ability to lift, stoop, crouch and climb. Regular lifting of up to 25 lbs., with occasional lifting of up to 50 lbs.
