EVENT MRKTG & COMMUNICATIONS SPECIALIST, Hariri Institute
The Rafik B. Hariri Institute for Computing and Computational Science and Engineering (Hariri Institute) is a university-wide research center reporting to the VP for Research, which serves as the university's premiere interdisciplinary hub for education, research, scholarship, innovation, and technology development associated with computational and data science research. Located in the University's Center for Computing and Data Sciences, the Hariri Institute community consists of over 400 faculty affiliates, 50+ administrative and research staff, 200 graduate students, and over $26 million in annual research expenditure. It is home to 10 initiative areas, including the university's largest industry partnership, the Red Hat Collaboratory, the signature Software and Application Innovation Lab (SAIL), the venerable Center for Information and Systems Engineering, and the Boston Womens Workforce Council, a public/private partnership between Boston University and the City of Boston's Mayors Office for Womens Advancement. The Event Marketing and Communications Specialist will execute the overall strategic communications and outreach for the Institutes event portfolio of over 130 events per year. Under the direction of the Assistant Director, Marketing and Communications with a dotted line to the Assistant Director, Programs and Events, this position will be responsible for producing event-related content for the website, social media, mail marketing, and other publications for internal and external stakeholders while complying with Boston University's brand guidelines. They will track and report on the impact of communications and outreach related to events., including publications, media mentions, and web/social/email analytics, recommending improvements to strategy as necessary, and acts as a supervisor to student interns. Essential Functions: Social Media and Website Management (40%): Collaborate with Center/Initiative Directors and Assistant Director, Programs and Events to create and maintain information related to events on the Institutes calendars and websites accurate, up-to-date, and in line with BU branding guidelines. Responsible for live streaming, recording, producing, and posting events and event-related content to the website and other platforms (YouTube, etc.), and creating and maintaining an archive of event-related videos and materials to highlight signature events and build a dynamic web presence for all reporting offices. Drive publicity of events on the website and social media. Utilize and provide guidance to communications intern(s) to achieve goals. Graphic Design (20%): Develop visual content to promote events internally and externally by using platform tools such as Canva, InDesign, Infogram, and more. Develop, manage, and maintain institutional event collateral, photography, and messaging, ensuring consistent delivery and in compliance of the center/initiative programs, events and with BU branding. Drive and support material creation for event flyers, posters, presentations, etc. Act as the primary contact for physical promotional items, including design and digital/print production from start to finish, including negotiating costs and schedules with vendors to ensure high-quality products and timely delivery. Event Marketing Strategy & Implementation (20%): Work with Assistant Director, Marketing and Communications and Assistant Director, Programs and Events to develop goals, strategies, tactics, and messaging for events aimed at both University and external audiences across all appropriate platforms, including web, social media, video, digital, and print, using tools such as Sprinklr. This includes executing pre- and post-event strategy (e.g.,post-event emails, thank you templates, links to recordings, event stories, furthering the conversation, etc.). Developing periodic reports on media metrics to drive engagement and collect statistics and data for the annual report. Events Newsletter (10%) - Produce weekly email newsletter to affiliate lists to broadcast events happening at the Institute. Special Projects (10%): Work with the Assistant Director, Marketing and Communications and Assistant Director, Programs and Events to support priority communications projects and broader institute social media initiatives as needed, including occasionally providing logistical support for events day of Required Skills Bachelor's Degree and 3-5 years of experience. Flexible on requirements, but candidates should demonstrate attention to detail, organizational skills, ability to manage multiple communications tasks, and pride in quality service delivery in a team-based environment.
