Event Planner
Description We are offering a short term contract employment opportunity for an Event Planner in Birmingham, Michigan. This role is primarily focused on coordinating and executing events, with responsibilities extending to customer service, office functions, and management tasks. Responsibilities: • Plan and execute events for groups ranging from 10 to 500 participants, accommodating various degrees of complexity. • Manage all aspects of events, from initial consultation, concept proposal development, site selection, vendor negotiation, to total logistics coordination. • Lead project teams for each event, including creation of project plans and budgets. • Develop and manage relationships with internal partners such as Food Services, Conference Services, Audio Visual, Security and Facilities. • Oversee the Client Center's daily operations, including managing the front desk and providing memorable service to clientele. • Coordinate meeting room reservations via the firm's event booking system. • Liaise with internal and external partners such as catering, security, audio visual team, events team and facility teams. • Execute administrative tasks such as invoice processing, scheduling maintenance service and ordering kitchen/banquet/office supplies. • Solicit feedback and assist in surveying client experience to improve service delivery. • Work flexibly to accommodate early mornings or late evenings as needed. • Foster and strengthen relationships with frequent users to establish a personal brand of high-level onsite service. Requirements • Proven experience in Customer Service, able to effectively handle client inquiries and provide exceptional service. • Strong Management skills, capable of overseeing teams and coordinating multiple tasks at once. • Familiarity with Office Functions, including administrative tasks and office equipment. • Excellent Planning abilities, able to strategize and organize events from conception to execution. • Knowledge of Budget Processes, capable of creating and maintaining event budgets. • Proficiency in Scheduling, ensuring all event timelines are adhered to. • Understanding of 'About Time' software for time management and task tracking. • Experience in Logistics, adept at managing event supply chains and vendor relationships. • Capability to handle Receptionist Duties, including phone handling and guest reception. • Familiarity with Security protocols for event safety and risk management. • Experience in Consulting, able to provide expert advice and solutions to clients. • Proficiency in managing Websites, specifically for event promotion and registration. • Experience with Facility management, ensuring venues meet event requirements. • Ability to drive Brand Awareness, through effective marketing and promotional efforts. • Willingness to Travel, as event planning may require on-site visits and out of town trips. • Basic knowledge of Graphic Design, for creating event promotional materials. • Ability to Execute plans effectively, ensuring successful event outcomes. • Familiarity with Printing processes, for producing event materials and signage. • Experience with Reservation systems, for booking venues and accommodations. • Ability to conduct Surveys for post-event feedback and improvement. • Experience in Catering management, ensuring food and beverage needs are met. • Ability to manage Onsite operations, coordinating all event day activities. • Understanding of Daily Operation in event planning, managing all tasks leading up to the event. • Excellent Coordination skills, capable of managing all event details effectively. • Proficiency in using Zoom for virtual meetings and events.
