Event Planner II

Job Summary

The Event Planner is responsible for planning, organizing, executing, and managing all aspects of company events to maximize the attendee experience within established budgets. This role interfaces with team members at all levels of the business, collaborating and communicating to execute successful event execution. 


Essential Functions

Provides overall event oversight including meeting with stakeholders to identify vision, goals and budget for events. Establish event project plans and communicate updates to stakeholders regularly. Plans and executes venue (live and/or virtual) coordination which includes research, selection, negotiation, and booking venues based on event requirements. Vendor management includes research, selection, negotiation, booking and management of vendors, such as catering, transportation, AV and guest speakers. Executes event planning with the scope to develop timelines, manage schedules, and coordinate logistics. Budget management scope includes creation and maintenance of event budget in line with approved expenses.Ensures cross functional collaboration by working with internal teams to facilitate event promotions, content, agendas and materials. Leads attendee management. Maintain attendee records, registration process, travel arrangements and communications. Facilitate and plans on-site coordination. Oversee events setup, manage event staff and vendors, and resolve any issues the day of the event. Executes post-event wrap up. Compile budget summary, survey feedback and recommendations for future event effectiveness. Handle other post-event activities or communications. Serves as the events point of contact and primary point of contact in communications for event attendees, travel providers, event vendors and external meeting planners. May execute other responsibilities as part of the role.

Supervisory Responsibilities 

This position has no supervisory responsibilities. 


Work Environment and Physical Demands 

In office environment primarily with some expectation to be offsite at certain times for corporate eventsProlonged periods sitting at a desk and working on a computerMust be able to lift up to 15 pounds at times

Travel 

This job may require some planned business travel.

Education and Experience 

Bachelor’s degree, preferred. Three or more years’ experience in corporate event planning and coordination, including budget oversight. Professional experience working with executive leadership and event management including hotel/meeting planners.
