Job description:

ICF Next is one of the leading integrated communication agencies in Europe, specialising in large-scale events and campaigns across the European Union. We are looking for a creative and dynamic team player to fill the position of Event Project Manager. The ideal candidate has a solid knowledge of event management as well as strong project management skills; delivers physical, hybrid and online events in a qualitative and timely manner; oversees and monitors financially medium-scale event projects with communication elements; is commercial-minded and solution-oriented, leads and manages small project teams of event managers and other experts; contributes to the preparation of offers for event RfPs.

Responsibilities:

Planning and delivery of small and medium-size event projects for the EU InstitutionsCoordination and management of small and medium-size event projects from A to ZIdeas and suggestions for enhanced, connected experiences to audience and stakeholdersDaily contact with clients (mainly the EU Institutions)Strong and efficient project management skillsClient point of contact (PoC) throughout the project ensuring quality delivery and control and sound financial managementBudget management, monitoring and optimisationCoordination with internal creative and production teams involved in event projectsCoordination with service providers, suppliers and network of local partnersDay-to-day supervision of project tasksQuality control, time, change and resources management of projectsSustainable, innovative and inclusive event servicesPreparation of technical and financial offers and contribution to event-related tender offers.

Requirements:

5-6 years’ experience in event organisation and management in a communication environment, preferably for the EU Institutions and the European Commission. Experience in event organisation and delivery incl. stakeholders’ management, in more than 3 countries is considered an assetExcellent organisational and planning skillsStrong project and time management skills (Prince 2 or PM2 certification will be considered an asset)Proven organisation and delivery of online and physical event projects (conferences, meetings, webinars, seminars, roadshows) with communication elements and networking and exhibition activitiesKnowledge of the Brussels market and ability to identify and contract event logistics suppliers and venues in Belgium and other EU countriesGood knowledge of online registration, conferencing and engagement tools and platforms (like Zoom, Teams, Webex, Interactio, Sli.do, Hopin, etc.)Ability to manage small project teamsProven capacity to manage small and medium-range budgetsAbility to work on the preparation of offers for Request for Services and Tenders/BidsStrong capacity of managing event projects in parallel during preparation and implementation.Focus on cost-efficient, novel, inclusive, gender-balanced and sustainable eventsExcellent knowledge of English and French (any other language i.e. German or Spanish will be considered an asset)Knowledge of registration tools like CVENT, Swoogo and B2Match is necessary.Ability to operate and use internal, corporate project management tools.Extensive understanding of Artificial Intelligence (AI) and its applications and limitations in event organisation and use of internal, corporate tools.University degree.
