Overview

The Event Sales & Services Manager is responsible for selling catering events and servicing catered & group events after it is booked. This is achieved through establishing and building strong client relationships; negotiating and finalizing through to contract; planning all event catering and operations; maintaining service and regular contact during the program; subsequent client follow up, billing and financial closure. The Event Sales & Services Manager serves as the property liaison between client and operating departments to ensure a successful meeting and to generate repeat business. Is also responsible for coordinating and supervising assigned group business after it is booked by the sales department, and through completion of the event or function, while maintaining profitable operations and high-quality products and service levels. He/she is expected to market ideas to promote business; Additional ongoing responsibilities include close management of financials, including regular participation in catering budgeting and forecasting. He/she is expected to foster relationships and market ideas to promote new and repeat business. 

Responsibilities Perform job responsibilities in accordance with organizational standards.Cultivate client partnerships and ensure that all details are communicated and executed for a successful and enjoyable experience for all involved.Regularly contact existing accounts based on the tracing frequencies of the Account Coverage Program.Actively sell guest rooms and food & beverage where applicable to small groups as assigned, ensuring monthly and quarter goals are metInitiate and follow up on leads.Handle inquiries as part of Inquiry Day Program.Use your property’s computerized sales management system to manage the hotel’s business, including (but not limited to) generating reports, entering business, blocking space, building accounts, and logging activities.Conduct a professional, thorough site inspection of the hotel with clients, exhibiting key features and benefits of the property.Abide by Prime Selling Time (PST).Professionally represent the hotel by participating in client and industry functions as appropriate.Review sales contracts as well as other key details such as room blocks, cut-off date, deposit schedule, payment information, special concessions and attrition clauses and validate with clients.Monitor and enforce specific deadline dates related to group rooms cut–off, deposit schedule, BEO requirements and function guarantees.Ensure proper invoicing, billing and payment procedures are followedCreate and distribute group resumes, communicate any changes to appropriate departments and people in a timely manner.Recommend enhancements and or upgrades to maximize revenue.Participate in weekly Sales Meeting, Operations Meeting, BEO Meeting and any other required meetings relevant to role.Prepare Proposals and/or contracts to advise prospective guests primarily of guest room, hotel and meeting or space (as appropriate) and rate availability. Calculate and quote prices within guidelines for the same.Obtain rooming list details and validate reservations ahead of arrival.Assist in the preparation of required reports (i.e. monthly projections, pace and performance reports, etc.) in a timely manner.Operate the Sales Department within established sales expense budget.Develop a complete knowledge of company sales policies and SOPs and ensure knowledge of and adherence to those policies by the sales team.Maintain a Passion & Drive to outperform the competition.Attend all department and hotel meetings as necessary.Follow Standard Operating Procedures (SOPs) as outlined.Perform any other job duties as assigned Qualifications At least 3-5 years of progressive experience in an upscale or a related field; or a 2-year college degree and at least 3 years of related, upscale hotel experience.Must be proficient in Windows, Hotel sales system experience; Company approved spreadsheets and word processing. Must have knowledge of F&B preparation techniques, dietary restrictions, health department rules and regulations, liquor laws and regulations.Flexible and long hours sometimes required.Light work - Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently or constantly to lift, carry, push, pull or otherwise move objects.Extensive knowledge of all hotel departmentsMaintain a warm and friendly demeanor at all times. Must be able to effectively communicate both verbally and written, with all level of employees and guests in an attentive, friendly, courteous and service oriented manner.Ability to excel in a fast-paced environmentSelf-confident, proactive, and able to prioritize and make effective decisionsMust be able to multitask and prioritize departmental functions to meet deadlinesAttend all hotel required meetings; trainings; & MOD coverage as requiredMaintain high standards of personal appearances and grooming and comply with Highgate Hotel Standards and regulations to encourage safe and efficient hotel operationsMust be a creative and effective leader, possessing a high degree of professionalismCreate, execute, and manage a personal plan to meet or exceed budgeted revenue goals.Maximize efforts towards productivity, identify problem areas and assist in implementing solutions.Must be effective in handling problems, including anticipating, preventing, identifying and solving problems as necessary.Must be able to understand and evaluate complex information, data, etc. from various sources to meet appropriate objectives.Must be able to maintain confidentiality of information.Perform other duties as requested by management.
