Event Services Administrator

**Overview**
The Event Services Administrator is responsible for leading client engagement initiatives including the planning, scheduling, and
execution of all logistics for business-related meetings and onsite events. In addition, will be responsible for the selection of
vendors, service providers, and negotiating pricing based on event services budgetary guidelines.
**Responsibilities**
+ Facilitate logistical arrangements for onsite events including the selection of vendors, space assignments, and catering options
+ Oversee all venue preparations, including seating arrangements, décor, business materials, and audio/visual needs.
+ Research and coordinate with vendors and suppliers to acquire necessary services and activities for events.
+ Negotiates pricing, and monitors expenditures in relation to event services budget.
+ Train new employees in departmental procedures and direct resources supporting setup functions related to onsite events
+ Exhibit polite and professional verbal and written communication via phone, e-mail, and in-person
+ Communicate effectively with Facilities manager and client by providing updates to ensure customer objectives are met
+ Manage office tours, events, and business meetings using workspace management technology
+ Work with client and internal stakeholders to manage projects and strategize for upcoming business objectives
+ Assist customer and manager in developing policies and procedures to enhance services
+ Ability to manage flexible work schedule and provide support before and/or after shift
+ Independently resolve moderately complex problems and issues under minimal supervision using appropriate judgment
+ Maintain visitor registrations in accordance with security guidelines by monitoring logs, and issuing visitor/employee access
+ Oversee daily operations of the office facilities, including maintenance, cleaning, and security.
+ Coordinate with vendors and service providers for repairs, maintenance, and renovations.
+ Monitor and manage inventory of office supplies and equipment.
+ Ensure compliance with health and safety regulations.
**PHYSICAL REQUIREMENTS/WORKING CONDITIONS/MENTAL QUALIFICATIONS**
+ Mental qualifications include ability to perform all responsibilities efficiently and effectively
+ Good organizational skills
+ Ability to work flexible schedule and provide support outside of normal business hours as needed for event preparation
**Qualifications**
+ High school diploma with equivalent experience required · Associate’s degree preferred
+ 2 years of related experience in a corporate setting
+ Knowledge of company structure and business activities
+ Experience managing preparations for meetings, conference rooms, and events
+ Advanced knowledge of all office equipment
+ Strong administrative skills and scheduling capabilities
+ Proficient in Word, Excel, PowerPoint, Outlook, Teams
+ Proficient in Workspace Management Software
+ Communicate effectively with diverse groups and clients
+ Excellent written and oral communication skills
+ Excellent negotiation skills
+ Expert in customer service skills, professional attitude and appearance
+ Ability to work varied extended hours
+ Advanced administrative skills with attention to detail and ability to manage priorities
+ Ability to multi-task and highly flexible with changing circumstances
+ Ability to work independently and take initiative
