SUMMARY
The Event Services Manager (ESM) plans, organizes and manages the in-house details for meetings sales group bookings (e.g. Guest rooms, menus, set-up, etc.) The Event Services Manager takes responsibility of the group from contract turnover to the groups’ completion. The position ensures maximization of room and meeting space, revenues, and profits while delivering a quality product.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
· Responsible for the management and planning of meetings/conventions and related activities.
· Attends Banquet Event Oder (BEO) and staff meetings and perform as a team leader for all hotel department staff participating in the event delivery process.
· Work with Meeting and Event Sales Managers and assign appropriate space needed by groups for RFPs and contracts.
· Manage the planning, execution and supervision of assigned Meeting and Events per the contract and the client’s requirements.
· Communicate all group specifications and history to the appropriate operational departments. Ensure that all specifications are implemented and executed to established guidelines.
· Ensure the proper use of function space, exhibit hall and overall event space. Maximize group’s revenue by referring available goods, services, attractions, and sub-contractors to convention groups.
· Oversee contracted group room blocks to include cutoffs, attrition, etc.
· Mediate and resolve any problems that arise with convention group’s attendees and the hotel.
· Plan and develop convention programs, resumes, agendas, and services utilizing the Sales and Catering system according to client requirements and established guidelines.
· Create external communications to include introductory letters, appropriate property information, and tentative schedule of events for assigned convention groups.
· Host Planning Meetings, Site Inspections, Pre-Convention Meetings as outlined in convention services departmental guidelines.
· Attend Group pick up meetings and report guest room pick-ups to Meeting and Event Sales Manager and Client for all assigned groups.
· Be accessible and available to Team Members and Clients
· Consistently demonstrates excellent people skills when dealing w/ Team Members and Clients
· Be present at all events that been assigned to you.
· Ability to work efficiently, independently and cohesively, consistently producing quality results.
· Ensure client satisfaction through the smooth execution of all assigned conventions as measured by pre and post event survey data.
· Ensure that all conventions adhere to company policies, fire department regulations, state liquor laws and other applicable government regulations.
· Track and report group revenues according to established guidelines
· Coordination of all group business as developed by the Meeting and Event Sales Manager
· Maintain well documented, accurate, organized and up to date file management in order to serve client and the employer in the most expedient, organized and knowledgeable manner.
· Develop customer profiles and maintains an effective trace system including trace dates and references resulting in superior account service and increased revenues.
· Develops strong customer relationships through appropriate client communication and the use of professional, courteous and ethical interpersonal interaction.
· Follow up on all client needs and inquiries in an efficient and expedient manner.
QUALIFICATIONS

EDUCATION
More than two years of post-high school education. Previous management experience required.
RESPONSIBILITIES
The Meeting and Event Services Manager acts a liaison between the customer and hotel sales person to provide direction and supervision during execution of meeting and banquet functions and/or event.
LANGUAGE SKILLS
Excellent communication skills both written and oral. Must possess interpersonal skills to deal effectively with business contacts and employees at all levels of the company. Must possess a strong attention to detail and presentation skills.
Results oriented, hands-on professional with the ability to deal effectively and interact well with the customers and employees. Must have the ability to resolve problems/conflicts in a diplomatic and tactful manner.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, percent, and to create and interpret bar graphs.
REASONING ABILITY
Ability to define problems, collect data, establish facts and draw valid conclusions through decisive judgment. Ability to interpret and follow through on a variety of instructions furnished in written, oral, diagram or schedule form.
CERTIFICATES, LICENSES, REGISTRATION
Must obtain and maintain appropriate licensing with the Nevada Gaming Board and Alcohol Awareness Card .
Other Qualifications
Must be a minimum of 21 years of age. Must be proficient in Microsoft Office Products: Word, Excel, Power Point, Publisher, and Outlook. Flexible to work all shifts including holidays, nights, weekend hours and overtime as business needs dictate.
